Job Role

  • The prime role of the Legal Secretary is to provide enhanced support to his/her Principal to enable them to operate at optimum efficiency.
  • This will include, but will not be limited to, the main responsibilities are given below.
  • The Legal Secretary is expected to use a high degree of self-management and initiative and to maintain a high level of confidentiality.
  • Main Responsibilities
  • To build relationships with clients and internal contacts on behalf of the team.
  • To attend clients/contacts in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the Firm’s standards for client care.
  • To prepare correspondence and legal documents through audio typing and word processing and to ensure a high quality of the documents, faxes, and photocopies. 
  • To use initiative to progress files within the limits of his/her own ability.
  • To undertake any specific training when required to do so and overall to have a responsibility towards self-development.
  • To perform tasks as the first point of contact with people from inside and outside the Firm; provide a high level of client service at all times.
  • To ensure all filing is accurate and kept up-to-date. 
  • To analyses, the aged debt list monthly and follow up on overdue invoices.
  • To deal with internal and external clients with professionalism and consideration.
  • To handle telephone inquiries in a professional and polite manner, taking accurate messages Dealing with incoming/outgoing emails and post quickly and efficiently.
  • To provide administrative support to one or more lawyers.
  • To effectively communicate with witnesses, clients, colleagues, and partners.
  • To attend trials and type minutes.
  • To maintain and update inventories of contact details.
  • To facilitate the meeting of deadlines by keeping multiple agendas and provide timely reminders.
  • To attend court when required.
  • To perform legal research.
  • To make an appointment with clients.
  • To greet visitors and perform an initial screening of clients.

Education & Experience 

  • LLB Honors.
  • One-year professional experience.
  • Personal Attributes
  • Be reliable and diligent, with good attention to detail.
  • Self-motivation to work independently and as part of a team with a ‘can-do’ attitude
  • Good interpersonal skills.
  • A positive approach to working under pressure in a busy environment.
  • Methodical approach to tasks and problem-solving.
