Reception:

  • Greeting and directing visitor.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

Receiving Mails:

  • Receives, sorts and forwards incoming mail. Maintains and routes publications.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)

Call Management and Direction:

  • Answer, screen and directs incoming phone calls to the appropriate associate. Will transfer a caller to an associate’s voice mailbox when the associate is unavailable.
  • Takes and retrieves messages for various personnel.
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.

HR Activities:

  • Acting as a focal point for relocations and liaising with the HR team to coordinate an efficient, human-friendly process.
  • Schedule candidates for interviews.
  • Update calendars and schedule meetings.

Travel Desk:

  • Providing a full Travel Desk administration service, including but not limited to reservations, ticket collection and distribution.
  • Developing and maintaining a basic knowledge of the travel industry, and regulations pertaining to travel issues affecting the company and its employees, for example visa requirements, appropriate routing etc.
