A.     Administrative Support

  • Advise EMPLOYER on its relationship with the local authorities to facilitate a positive cooperative relationship.
  • Advise programme teams on specific regulations implemented by the Authorities that impact the ability to implement activities and/or impact the speed of implementation.
  • Submit and follow up on any pending permissions/authorisations to conduct activities across the District as per the needs of programme teams and ensure presentations on completed activities are provided in a timely manner when required.
  • Support programme teams in their communications with District Government Departments and/or in the collection of Government data for programme planning purposes.
  • Ensure all EMPLOYER Internationals arriving in Dadu have all the necessary documentation to access and remain in Dadu District.
  • Ensure all copies of up-to-date permissions for EMPLOYER to operate in the District are regularly filed and passed on to the main office in main office.
  • Undertake regular field visits, including at the specific request of HR Teams, to ensure all Union Council Authorities are briefed on EMPLOYER activities and that all activities are properly coordinated at every administrative level.
  • Receive applications for employment; maintain candidates’ data in recruitment database.
  • Assist HR team with translation of candidate’s CV credentials.
  • File the interview records and application forms of non-selected candidates for future reference. Support the HR team in maintaining a roster of qualified applications and review interview records to insure all qualified applicants are included, and search for candidates upon request.
  • Assist new staff member with induction.
  • Receive and update the staff lists from bases and pass them main office.

1.      Finance support

  • Finance Documentation and review
  • Voucher making and passing to main office
  • Billing and documentation
  • Another tasks can be assigned by Finance person

2.      Travel / Accomodation

  • Support travel arrangements of all staff between the area office and other bases, with direct contact and link with HR Team.
  • Manage the organization of the Guesthouse and ensure that all arriving staff are allocated a room and that it is cleaned and prepared.
  • Manage the cooking / cleaning team and develop rotas for cleaning and cooking both at the office and Guesthouse.
  • Ensure that all premises are properly maintained and cleaned in coordination with the HR department.
  • Must assess all the IT, Energy and Communication materials’ need on the bases;
  • Submit request for appropriate setup in the bases under his responsibility to Area IT Officer/Area Logistics Officer and prepare Order Form upon validation;
  • Ensure that request is tracked down with Procurement Assistant / Supervisor and inform in timely manner all requesters;
  • Warrant for submission of all necessary documents of property during supply chain management (Asset Reception Sheet).
  • Ensure Proper utilization, maintenance and follow up of Employer & RENTAL vehicles.
  • Control and manage the cost of the fleet (fuel, maintenance and repairs)
  • Accounts for overall compliance with the fleet management procedures.
  • Follow up and Checking of daily log books checking.
  • Follow up of program department’s field work plans and allocation of cars on timely basis.
  • Follow up and maintaining daily vehicle tracking sheet.
  • Responsible for Area office & sub-basis vehicles follow up and their monthly consumption reports.

1.      Delivery (Transport) interaction

Coordinate with Transport Assistant / Supervisor for any Asset / Equipment transported or transferred to and between bases;

Gather information and appropriate documents from delivery to the requester (Waybill copy and Asset Reception Sheet signed).
