·       Managing the MD office, perform all secretarial tasks for the MD and some managerial staff including transcribing and proofreading routine and confidential correspondence, preparing reports, presentations and minutes of meetings, scheduling appointments and maintaining confidential files and other material and records essential for use by the MD and/or staff;

·         Maintain calendar of appointments for the Managing Director, ensuring the MD is apprised of all appointments and changes as well as matters requiring immediate attention; Update MD on the status of issues before scheduled meetings;

·         Receive & screen incoming calls & visitors, determine which are priority matters & intimate the MD accordingly or route to relevant staff; answer routine mail independently and route other mail with background material as necessary to the MD and or the relevant officials;

·         Coordinate with the head of departments & company officials as per requirement; Conduct follow-ups and inquiries with other staff for business reporting / information wherever required and or appropriate;

·         Use electronic automation to prepare letters, memoranda, reports & presentations;

·         Prioritize communication from employees, customers, public officials, and others addressed to the Managing Director, gather appropriate support material from other staff for preparing response as appropriate;

·         Coordinate and directly supervise the activities of the administrative support staff to ensure equitable distribution of workload, adequate coverage during absences, office protocol and information flow among different departmental employees.

·         Manage requisitions of office supplies, and perform other administrative support procedures for effective office management;

·         Maintain all files for the Managing Director, ensuring that material is properly marked and accessible for immediate use;

·         Schedule, coordinate and manage all travel arrangements for the Managing Director
