 A.    Responsibilities

  • Assists the Principal Advisor and the technical staff of RMSP in the general operations of the project
  • Assists the Technical Advisor Communication and Outreach in Knowledge Management tasks
  • Ensures that important correspondences and key programme documents are filed consistently
  • Supports in the preparation, organization and coordination of RMSP events i.e. workshops, trainings stakeholder-meetings, and other activities
  • Organises and coordinates appointments with partners as needed
  • Manages incoming and outgoing correspondence (post, fax, email, etc.)
  • Prepares and organise information materials for meetings, events, and workshops
  • Documents events, meetings, workshops and seminars within or outside the project
  • Helps prepare missions, draws up travel schedules, organises transport of visitors and coordinates hotel and ticket reservations
  • Keeps abreast of forthcoming meetings and events

B.    Tasks

  • Establishes and maintain a digital and, where appropriate, hard copy filing system for RMSP and treats information confidentially
  • Support in coordination and processing of travel claims and RMO requests in case of official travel and missions
  • Trains relevant RMSP members on the filing system, to ensure consistency among the team
  • Assists in project implementation through background research, and summaries of reports, and compilation of information as requested
  • Maintains a digital information database with information relevant to the situation of refugees in Pakistan, and developments relevant to project implementation
  • Creates an address file with important contact addresses and maintains this
  • Reports damage/defects in office furnishings and equipment to project management and organizes and follows up on maintenance and repair in coordination with Administration Officer
  • Participates in and contributes to the team meetings by taking minutes and circulating them among team members
  • Performs other relevant duties and tasks at the request of the management and technical team

C.    Required Qualifications, Experience, and Competencies

 Qualification

Bachelor’s degree in social sciences and other relevant fields  

Professional experience

  • At least 1 year’s professional experience
  • Experience in administrative and project support tasks   
  • Familiarity with the international development cooperation context
  • Demonstrated interest in initiatives supporting vulnerable populations

Other knowledge, additional competences

  • Fluent English and Urdu (written and oral) are a must
  • Outstanding organizational skills
  • Good IT skills, including office software packages; familiarity with electronic filing/data management systems is an asset
  •  Ability to work in an international context, with respect for diversity
  • Awareness and sensitivity regarding refugee issues
  • Accountability and professionalism
  • Creative problem solving with strong initiative
  • Communicates effectively across different constituencies
  • Consistently approaches work with energy and a positive, constructive attitude fitting for a team environment 
  • Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management
