ZPro Solutions is seeking a motivated Operations Support Specialist to be part of our team. Our team is driven to increase client productivity and improve the performance. We need business administrative and operational support to ensuring all projects and office functions runs efficiently.

As an integral member of ZPro Solutions Consulting Firm, the Operations Support Specialist will be responsible for advancing the business through planning, coordinating, and implementing assigned task. Required skills include exceptional organization skills, project planning, attention to detail, timeline management, computer literacy, customer service skills, problem-solving skills, analytical skills, mathematical skills, excellent business writing skill and strong communication skills (written & verbal).

  • Support onboarding efforts: Screening candidates, coordinating interviews, complete reference checks.
  • Analyze hiring trends & provide updates and reports on recruitment efforts and staffing needs.
  • Monitors daily status reports and timesheets to identify inaccuracies.
  • Research create & maintain professional development plan and resources for staff members professional growth.
  • Provide administrative support with completing forms & reports, arranging meetings, composing regular correspondence, processing confidential reports and documents and filing, as needed
  • Research and refine efficient HR processes and procedures.
  • Maintain up-to-do staff resumes, project experiences, and firm capability
  • Invoicing
  • QuickBooks expert (bank statement entries)
  • Financial statements (Profit & Loss, Balance sheet)
  • Manage Accounts Payable, Accounts Receivable (aging report)
  • Review timesheets
  • Reconcile Expenses
  •  Monthly Overhead
  • Maintain/keep records of contracts/budget
  • Manage payroll ( review employees’ salaries, billable hours, PTO, health insurance, send pay stubs)
