The GSS Intertrade is currently recruiting for Procurement Accounts Assistant to join its accounts department. The role – Procurement Accounts Assistant provides accounting management oversight and responsibility to provide adequate logistics implementation and management for restaurants and landscaping services, in the respect of the GSS procedures to ensure the effective and efficient functioning. The candidate will provide finance and administrative support including procurement, planning, monitoring and reporting on expenditure and maintaining accurate records for audits and accountability. In addition, he/she will be responsible for ensuring the timely implementation of activities and that these are carried out in line with GSS guidelines and Standard Operating Procedures (SOPs). To be successful in this role we expect you to be a positive, analytically minded and have excellent written and verbal communication skills.

Procurement Accounts Assistant Job Duties

Supply Chain Management

-Ensure all logistics/supply chain needs are understood and that all resources are prepared and delivered properly and in time

-Proceed the request by preparing a Release Order or a Purchase Order

-Coordinate with logistics team in Jhelum for the purchase done inside Islamabad and all topics related to logistics needs 

-Perform purchasing of office supplies, equipment, food products, stocks and materials needed by restaurants and offices by respecting GSS procurement procedures

-Organize the delivery of the items by delivery notes and to update the follow up

-Negotiates and supervises matters relating to office premises, utilities and services with vendors

Accounts 

-Prepare and process accounts payable and receivable invoices and credit notes

-Assist with the month-end and quarter-end closing process, including the creation, documentation and posting of journal entries to the general ledger

-Work on monthly balance sheet & income substantiation

-Coordinate the closure of monthly accountancy-

-Accurately and timely prepare the Financial Statements in terms of Balance Sheet, Income Statement, Statement of Changes in Net Assets and Cash Flow Statements 

-Update monthly budget follow-up

-Ensure accuracy of the forecasts received from the different bases

-Support preparation of external or internal audit

-Participate in the improvement and development of financial tools

-Input and upload adjustments to the general ledger and budgeting system in accordance with financial procedures and specified timescales

-Accompany field bases in financial partnership management

Inventory Management

-Ensure all items to be shipped are properly packaged, labeled and organized for rapid dispersal

-Supervises adequate and appropriate use of supplies. Ensures that services and maintenance of premises are in accordance with organizational standards

JOB REQUIREMENTS

Education:

-A minimum Bachelor’s degree in Accounting, Supply Chain or relevant field

-Minimum two years accounting/auditing experience

-Knowledge of procedures on procurement, warehousing, supply chain

-Previous experience in the hospitality industry is an advantage

Experience:

-Candidate must have a Certificate in Accounting, demonstrable knowledge of financial management, accounting and procurement and at least two years experience in finance, accounting and logistics

Skills:

 -Strong technical accounting skills

-Able to work on own initiative to plan, organize and deliver a programme of work

-Good working knowledge of Microsoft applications and commitment to using IT to effectively support the work of the Department

-Excellent interpersonal skills, including ability to communicate effectively with a wide range of people by phone, email and face to face 

-Ability and commitment to working as part of a team, including working flexibly in response to the varying needs of the service

-Exceptional analytical thinking, attention to detail and a sense of urgency

-Proven organizational and time management skills
