Guest Relation Officer time spend at the lobby desk should be maximized in order to properly attend the guest specific request including but not limited to:
- Assisting with reconfirmation of airline booking.
- Accepting reservations for next destination hotel.
- Providing assistance with specifies queries or problems.
- Prepare and distribute daily VIP requisition forms.
- Pre-register incoming VIP’s.
- Prepare requisition forms and coordinate delivery of amenities to guest room.
- Prepare welcome letters, cards and special amenities e.g. engraved stationary. Matches etc.
- Prepare release forms to inform Room Service/Housekeeping of cancelled VIP’s and DNA guests.
- Inspect guest rooms and deliver welcome letter on special stationary, one hour before guest arrival.
- Check entire reservation file one day before one day in advance against guest history cards determine whether any VIP’s were missed by reservation staff and for information regarding guest special requests.
- Advise Guest Relation Manager of guests to be up graded on including in the VIP list.
- Present list of suggested amenities to be extended to VIP’s for Guest Relation Manager Approval.
- Type daily VIP list.
- Meet guest upon arrival and escort them to their rooms.
- Bid farewell to guests, noting their comments
