Hiremorph is seeking a detail-oriented and proactive Real Estate Virtual Assistant to join our dynamic remote support team. This full-time, remote role is designed to provide high-quality virtual assistance services to real estate professionals across the United States. The ideal candidate will possess a strong understanding of US real estate market practices, including administrative support, CRM management, lead generation, transaction coordination, and marketing activities related to real estate. They will work independently, managing multiple tasks with precision while supporting realtors, brokers, and real estate teams effectively. The Real Estate Virtual Assistant plays a crucial role in maintaining and updating customer relationship management systems, coordinating appointments and property showings, and managing communication between clients, agents, and vendors. The position requires excellent organizational skills, the ability to multitask efficiently, and strong written and verbal English communication skills. Experience with real estate terminology, CRM platforms, MLS systems, and lead generation tools is essential. Responsibilities

  • Manage and continuously update CRM systems including Follow Up Boss, GoHighLevel, KVCORE, Salesforce, or HubSpot to keep accurate and up-to-date client and lead information.
  • Conduct timely lead follow-up via calls, SMS, and customized email campaigns to nurture prospects and maximize conversion.
  • Schedule and coordinate appointments, meetings, property showings, and maintain an organized calendar to synchronize activities efficiently.
  • Update property listings across platforms such as MLS, Zillow, Realtor.com, ensuring accuracy and timely publication of property information.
  • Support transaction coordination by managing contracts, disclosures, and all necessary documentation to streamline the closing process.
  • Maintain thorough and precise databases and client records with attention to detail to support seamless workflow and client management.
  • Serve as a communication liaison coordinating activities between clients, agents, lenders, title companies, and various vendors to facilitate smooth real estate transactions.
  • Assist with marketing efforts by managing social media accounts, scheduling posts, crafting email campaigns, and supporting digital marketing initiatives to enhance brand visibility.
  • Prepare detailed reports, spreadsheets, and operational updates that provide insights and support decision-making processes within the real estate team.
  • Provide reliable administrative and customer support, maintaining professionalism in all client interactions and administrative duties.
  • Utilize tools such as Canva, Google Workspace, Slack, ClickUp, or Trello to maximize productivity and support team collaboration.
  • Ensure adherence to deadlines and handle multiple simultaneous tasks efficiently while working independently in a remote environment.
  • Maintain a professional home office setup with a high-speed reliable internet connection and availability during U.S. business hours.
