Key 9 1. Fleet Administration
Maintain accurate records of all company vehicles, including registration, insurance, MOT, and service schedules.
Process vehicle-related documentation such as tax, fuel cards, fines, and driver logs.
Monitor mileage, fuel consumption, and driver usage patterns.
Assist in the procurement, disposal, and replacement of vehicles.
2. Compliance & Safety
Ensure all vehicles meet UK legal and regulatory standards (DVLA, VOSA, HSE).
Schedule and track MOTs, inspections, and maintenance checks.
Keep driver records up to date, including licence checks (via DVLA portal) and driver CPC compliance.
Support the implementation of company health, safety, and environmental policies related to transport.
3. Maintenance Coordination
Liaise with garages, service providers, and leasing companies to schedule repairs and maintenance.
Track downtime and ensure minimal disruption to operations.
Maintain maintenance logs and ensure service intervals are met.
4. Cost Management
Monitor and report on fleet costs (fuel, insurance, repairs, fines, etc.).
Support budgeting and forecasting for fleet expenses.
Identify cost-saving opportunities (e.g., route optimisation, fuel efficiency measures).
5. Operational Support
Allocate vehicles to drivers and departments based on operational needs.
Assist in managing vehicle tracking and telematics systems.
Respond to breakdowns and accidents, ensuring timely assistance and reporting.
6. Communication & Coordination
Serve as a point of contact for drivers and external fleet service providers.
Report regularly to management on fleet performance, costs, and compliance status.
Support training and communication initiatives to promote safe and efficient driving.
