Job Description

General Service Administration:

  • Act as a first point of contact for the CEO & Directors.
  • Daily opening and closing of office, attend phone calls & daily visitors.
  • Mail handling, courier dispatch and tracking of packages & shipments.
  • Check payments vouchers, bills and statements as and when required basis.
  • Hand over payments Cheque to vendors/parties and take proof of receiving.
  • Processing of manual gate passes and keeping track of outstanding items.
  • Check and supervise cleaning of office on daily basis.
  • Oversee procurement, smooth running, regular repair and maintenance of premises and equipment (i.e. Office Equipment, Generator, ACs, Security System, CCTV, PABX, Telephone lines).
  • To respond to any queries or concerns relating to individual cases in a timely, friendly and efficient manner.
  • Regulate proper usage of company resources & utilities, e.g. Telephone lines, Electricity, Water, etc.
  • Follow Renewal of ID cards, Licenses, Passports, Privilege club memberships, etc.
  • To arrange visas, booking of domestic and international flights, making reservations at local and international hotels and process the payment/bills with the travel companies/hotels.
  • Arrange payments of credit cards, utilities, club bills, renewal of magazines, etc.
  • Scheduling and attending meetings, Keeping diaries and arranging appointments.
  • Ordering and maintaining stationery and equipment of CEO office
  • Check frequently the levels of office supplies and place appropriate orders and verifying receipt of supplies.
  • To respond to any queries or concerns relating to individual cases in a timely, friendly and efficient manner.
  • Update and record keeping of fixed assets of company.
  • To perform other duties as and when required basis.

Personal Assistance:

  • Draft letters, emails and correspond internally and externally.
  • Provide executive calendar management & provide support to CEO
  • Coordinate with different departments regarding scheduling meetings and interviews and other operational Tasks
  • Prepare documents, drafts, letters and emails, attend meetings and keep minutes.
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
  • Handle confidential documents ensuring they remain secure.
  • Reconcile the CEO’s expenses.
