1. Keep and maintain visitor’s register at the Office reception.
2. Ensure that every visitor must use the visitors’ card before visiting any staff in the Office.
3. Make sure that no office staff or visitor should stay at the reception area without any appropriate reason.
4. Maintain proper record of long distance calls and note the personal calls of the staff separately as per procedures.
5. Maintain proper record of incoming and outgoing faxes. Ensure ordinary faxes are placed in mailboxes of relevant staff and urgent faxes are passed on the tables of relevant staff.
6. Efficiently operate telephone exchange coordinate with the service contractors in case of any mechanical fault to telephone exchange or fax machine.
7. Regularly update and maintain telephone directory.
8. Contact relevant authorities in case of any problem with the telephone lines.
9. Monitor the outgoing mail and keep office wise dispatch record
10. Attend office on weekends and holidays as and when required by your supervisor.
11. Monitor and ensure attendance registers both for the regular staff and interns
12. Maintain Bio matrix attendance data record and weekly update
13. Maintain staff leave record and provide record & coordinate with HQ office
14. Allocate courier cost as per mailing record
15. Supervise Kitchen staff, coordinate meeting arrangements/refreshment etc
16. Reservation of air and Daewoo tickets and hotel rooms as required
17. Any other relevant duty assigned by the supervisor
