As an Office Manager, you will be expected to yield following deliverables plus other deliverables as assigned by the management:

Administration Deliverables:

·        Shall be responsible for all general office administration matters.

·        Shall coordinate with auditor and taxation authorities for tasks delegated by Finance department

·        Shall maintain company’s Nigerian facilities in all aspects

·        Managing admin staff members and their tasks and deliverables.

·        Manage meet & greet for people moving in and out of company/ ensure proper accommodation for them. Make sure that there stay in office guest house is trouble free.

·        Supervise office housekeeping, cleaning and maintenance.

·        Travel to different places / cities in Nigeria as per requirements of company's business

·        Management of office utilities and official cell phone (payments, new connections, resolution of issues/blockage)

·        COC (Chamber Of Commerce) related matters (document verification, annual renewals of company registration, etc.)

·        Submission/gathering documents to/from customers/vendors

·        Keep compliance of Nigerian Content Law, and general laws, policies and procedures

·        Maintenance of Employees data (visa, insurances, travel related, etc.)

·        Arrangement of required documents for Insurances

·        Claims to be sent to the insurance companies

·        To ensure transparent and smooth processing of Performance Bonuses for general positions on Local bases.

·        To ensure that all critical HR paperwork is documented and records maintained in personnel files of general positions on Local bases.

·        To ensure that complete HR Information is captured for general positions and its data entry in the HR software.

·        Monitoring & control over employee grievance handling for general positions and updating concerned for it.

·        Liaison for HR related surveys

·        Coordination with IT and related matters resolution

 

Travel Logistics Deliverables:

·        Arrange all travel documents/tickets in coordination with the concerned individual and department (including invitation letters and assistance in internal office mobilizations)

·        Arrange different hotel/guest house rooms for guest visiting Nigeria and for Nigerian staff travelling locally and internationally

·        Arranging visa and logistics (transport and accommodation) for engineers on temporary assignments in Nigeria

·        Coordinate with embassies to facilitate visa processing of Nigeria staff as required

·        Visa related visits (in-Country)

·        Bank / Post office logistics etc., for visas

 

Shipment/Courier/Posts Deliverables:

·        Manage outgoing / incoming important posts via courier/postal service, related to company's business

·        Supervise logistic support to all shipments imported to and exported for company's business

·        Customs handling of shipments to and from Nigeria

 

Accounts Deliverables:

·        All Petty cash handling and keep a track of each transaction

·        Forward all vendor bills received to RA with marking of Project code and Cost center

·        Keeping company’s cheque books safely

·        Writing cheques against approved voucher and get it signed by authorize signatory

·        Bank Statement collection from the bank

·        Vouchers/Cheque entry in tracking file

·        Cheque payments to Vendors

·        Do coordination between Nigeria auditor and Regional/corporate F&A

 

Personal Development:

·        Develop basic understanding about tax laws of Nigeria

·        Develop detailed understanding about import/export and custom laws of Nigeria
