• Procurement Officer will be responsible for all purchases and procurement transactions
  • Ensure transparency & compliance to IDC Pvt. Ltd procurement policies and procedures
  • Coordinate with all sections to ensure an effective and efficient procurement planning and implementation
  • Evaluate Purchase Requests and start process on approved/validated and completed requests.
  • Issue Request for Quotes (RFQs) to vendors and follow up to ensure bids are received in timely manner.
  • Ensure bid committee is informed timely to make them available for bid openings and bids comparative statements are prepared, properly signed and authorized by the concerned authorities.
  • For specific items, ensure a sample analysis is conducted properly by the procurement department in order to have a quality validation by a technical advisor.
  • Prepare Purchase Orders after fulfilling all the requirements of purchases and obtaining necessary approvals. Ensure approvals from Management as per policies and procedures
  • Verify the goods/services are well arrived at the final destination and collect the documentation
  • Ensure that advances made in connection with purchases are settled timely
  • Maintain vendor data base and ensure it is regularly updated.
  • Actively promote procurement functions within the offices including the development and improvement of the existing procurement environment.
  • Circulate weekly update on Request for Purchase (RFPs) to all Section Heads.
  • Establish proper recording and monthly reporting systems of all procurement activities in hard & soft copy both.
  • Maintain good working relationship with vendors and contractors. This means regular checks-in by telephone or in person.
  • Ensure timely payment to vendors completing all the required documentation
  • Maintain a payment track in a soft copy for tracking of payments and to ensure the payments are being made to vendors in a timely manner.
  • Prepare, modify and amend purchase & service contracts/agreements,  Evaluates and negotiate contracts with vendors (prices, delivery time, payment terms)
  • Any other duties assigned by Management.
