Job Purpose: Under the overall umbrella of People & Culture, the incumbent shall support in development & implementation of policies, processes and provide practical solutions to complex cases relevant to recruitment & selection, compensation & benefits, systems & records, active liaising AO/FO based P & C teams for smooth operations as well day to day people related operations of the organisation.

The job holder is accountable for fulfilling his / her roles and responsibilities in line with Islamic values and principles of fairness, humanity, honesty, respect and fair treatment of his/her colleagues and team members.

Technical

  • To ensure implementation of existing P & C policies and provision of advices to the organisation’s staff.
  • Assist in reviewing P & C policies & practices and propose to Sr. Manager P & C for high quality & cost effective people services to the organization.
  • Assist Sr. Manager P & C in the development and implementation of P & C strategy.
  • Developing recruitment tracking sheet and to ensure best talent is attracted though adequate selection process & tools.
  • Coordinate staffing process and functions to identify optimal recruiting strategies; ensuring proper selection.
  • Assist in development of Job Requests, Job Description and ensure timely Job Advertisements. To ensure all staff must have job description in place.
  • Ensure Test and Interviews for vacant positions and ensure its arrangement through a fair and transparent process.
  • Ensure due diligence of selected candidates prior to issuance of offer letters as per applicable standards of reference check, IAMS verification & screening etc.
  • Maintain confidentiality of HR practices, processes, information and its documentation. 
  • Ensure HR practices are in compliance with the organisation’s Equal Opportunities policy, Code of Conduct and other legislations.
  • Preparing / Processing offer letters and employment contracts by exercising proper due diligence.
  • Ensure accurate processing of monthly payroll and administration of staff benefits (medical, overtime, EOBI, advances, leave etc).
  • Facilitate staff on appraisal process and provide orientation of the process.
  • Conduct regular follow ups on issues arising from performance management.
  • Analyse training need in conjunction with line managers and recommend effective training approaches.
  • Processing training requests and facilitate in leveraging learning after training.
  • Advising staff regarding training programs.
  • To address staff grievances and provide adequate resolution. Brief and orient staff on handling grievances.
  • Support and facilitate management in terms of provision of information/analysis for corrective actions, where required.
  • To carry out regular field visits of each area.
  • Develop P & C reports (monthly, quarterly, people Analysis etc) as & when required.
  • To ensure that staff welfare interventions contribute towards organization’s wining culture.
  • Ensuring that staff welfare interventions are cascading till filed level employees.
  • To develop guidelines on staff health and safety and provide support to employees.
  • To support on conducting organization’s and employee’s surveys and assessments.
  • Assist in preparation of annual budget for teambuilding, trainings & development function.
  • Provide forecasts on budget and explore cost saving approaches/measures.
  • Oversee the management of records in accordance with standards & local legislation.

Operational

  • Preparation of weekly / monthly work plans against PMT (performance measured time frame) by ensuring timely completion of assigned tasks in stipulated time period.
  • Maintenance of hard record that includes field visits reports, meeting minutes, staff data, assessment record, distribution record & other documentation.
  • Ensure proper filling of forms & formats as per desired standard
  • Extend support to other functions in staff related information.
  • Ensure availability of up to date info in HRIS on regular basis.
  • Close coordination with line manager for effective implementation of departmental activities.

Organizational

  • Ensure compliance with the organisation’s policies & procedures in true spirit for effective delivery of services to communities.
  • In depth understanding of the organisation’s values and their demonstration in the field while working with communities.
  • Abide by the the organisation’s zero tolerance policy towards bribery & corruption through sensitization / empowerment of communities on coping mechanism so that they can raise voice as & when feel inappropriate.
  • Thorough knowledge of the organisation’s strategic priorities to ensure effective implementation with future sustainability.
  • Assist in identification & documentation of organizational successes for show casing the organisation’s work
  • Facilitate communities in adaptation of environment friendly & cost effective approaches to meet their current as well as future needs with specific attention to climate change.
  • Focused efforts to be made for mainstreaming of marginalized groups i.e. Persons with disability and old age, minorities, Women & children etc. in consultation & implementation of project activities at ground.
  • Strengthen mechanism to Influence the decision makers through communities to pay attention towards, giving voice to the suffering and the excluded, highlighting the protection needs of people.

Person Specification: It is essential that the post holder shows a good understanding and sympathy with the organizational values & principles, vision and mission as well as commitment to its PSEAH (preventing sexual exploitation abuse and harassment) protocols. The organisation has a zero-tolerance policy towards PSEAH and don’t support any action that promotes or encourages PSEAH.

Qualification:

Bachelor / Master Degree in Business Administration with major in Human Resource Management. Certification e.g. CIPD, SHRM-CP/SHRM-SCP will be value addition.

Experience:

Minimum experience of similar role in International/National NGO setup; 7 years with Master/Bachelors (Hons) 16 years of education and/or 9 years with Bachelor degree (14 years of education)

Language: Urdu, English and local languages

Computer Skills:

MS Office, Outlook, ERP systems familiarity

  • Able to work under extreme conditions in field areas.
  • Good communication skills in local as well as English / Urdu language which delivers information with clarity in a wide range of situations.

  • Has a learning attitude and a continuous improvement philosophy.
