We are looking for an experienced IT Consultant with a strong background in SharePoint architecture to lead the design, implementation, and transition of our organization’s document management and collaboration systems. This fixed-term consultancy, lasting approximately three months, focuses on migrating from Dropbox and Google Suite to Microsoft SharePoint. The consultant will be responsible for creating a scalable, secure, and user-friendly SharePoint environment that supports global teams and aligns with our organizational workflows, data management policies, and governance standards. This remote, project-based role requires close collaboration with internal stakeholders and IT providers to ensure a smooth system transition and high user adoption.
Key Responsibilities
- Conduct a thorough needs assessment across departments and international offices to gather detailed requirements.
- Design and implement a SharePoint architecture, including sites, subsites, taxonomy, tagging, and permissions management.
- Develop standard operating procedures (SOPs) for document creation, collaboration, sharing, and approval workflows.
- Create a comprehensive migration and transition plan for moving data and documents from Dropbox and Google Suite to SharePoint.
- Establish governance and security frameworks to ensure compliance and maintain data integrity.
- Integrate SharePoint with Microsoft 365 tools such as Teams, OneDrive, Exchange, and Power Automate to improve operational efficiency.
- Develop and deliver training sessions aimed at achieving at least 95% user adoption within 30 days following training.
- Prepare detailed documentation, including architecture diagrams, workflows, and access control models.
- Collaborate closely with the IT provider on system configuration and oversee the implementation process.
- Provide change management support and deliver regular progress updates to the project manager and leadership team.
Required Qualifications
- Proven experience designing and implementing SharePoint architectures, preferably within international NGOs or similar organizations.
- Strong expertise in the Microsoft 365 ecosystem, including SharePoint Online, OneDrive, Teams, Exchange, and Power Automate.
- Demonstrated skills in data migration, taxonomy and metadata design, and access control structures.
- Solid knowledge of information governance, compliance standards, and data security protocols.
- Experience integrating SharePoint with other tools for workflow automation and reporting.
- Ability to manage user adoption and develop training programs tailored for non-technical audiences.
- Excellent documentation, presentation, and communication skills, with the ability to simplify complex IT concepts.
- Minimum of 5 years’ experience as an IT Consultant, SharePoint Architect, or Microsoft 365 Specialist, with a total of 10 years in the IT field.
- Bachelor’s degree in Information Technology, Computer Science, or a related discipline.
- Microsoft certifications in SharePoint or Microsoft 365 are preferred.
