The Admin and Logistic Assistant is responsible for managing clerical services, communications, facilities, fleet, storage, hotel bookings and other general and logistics support services to facilitate overall program goals and objectives.  In addition, s/he will ensure maintaining and implementing administrative and logistics systems and services and to ensure quality services are delivered.

Responsibilities:

  • Manage all logistical requirements related to trainings including hotel bookings, road travel, meeting hall booking, to aid and arrange travel support in coordination with Country office specifically with Transport Coordinator/Administration section
  • To prepare log for fuel & maintenance and record mileage record for company/rented vehicles in district and to provide daily update to Transport Coordinator via central drive
  • To support program team to prepare documents related to donation/distribution of items and reconcile with the release documents after handover
  • To scan and dispatch all original documents to Country Office and keep log/track of supplies/items distributed in field
  • To support finance and program team to prepare activity budget and other training related support in field.
  • To manage petty cash and advance for administrative use and duly close it with finance at the end of each month
  • Executes additional administration tasks at the request of Administration department. 
  • Performs other duties, as needed or requested

KNOWLEDGE, SKILLS, AND ABILITIES

  • Bachelor’s degree in business administration, social science, or equivalent.
  • 2 to 4 years of relevant experience of an increasingly responsible Program work at least 2 years of which involved providing secretarial or administrative & logistic support to Program Team / Project Team.
  • Self-management (i.e. motivation, dealing with pressure, adaptability) and the ability to project a professional, consistent image of confidence, integrity, and competence.
  • Proven ability to work in a team
  • Excellent writing, communication and interpersonal skills
  • Ability to manage day to day interactions with contracted external service providers and analyze their performance.
  • Computer skills, including internet navigation, and various office applications

One of the Project aims in Pakistan is to improve the quality of public and private sector health services. We also will improve access of women and children to health services especially the poor and those who do not or cannot go for health care, by educating communities and families and setting up better transport and communications systems. By 2017, thousands of deaths of women, newborn babies and infants will have been prevented as a result of the USAID/Pakistan MCH Program. USAID/Pakistan has, in cooperation with the USAID Office of Inspector General, established the Anti-Fraud Hotline to provide an avenue for the reporting of fraud, waste, and abuse which may be associated with USAID funded projects in Pakistan.
