We are currently looking for a skilled & proactive Graduate Support Officer. The ideal candidate will be responsible, reliable and willing to contribute to make SZABIST a better place to work. He/She should be highly efficient, organized and approachable. Applicant is expected to have a solid knowledge of various administrative responsibilities.
Duties and Responsibilities
- To process and verify the registrations of PhD Scholars.
- To update semester-wise record of PhD scholars (In soft and hard form) as per SOPs.
- Regularly updating the academic progress of PhD thesis. Responsible for coordination and processing of all PhD dissertation related activities as per academic calendar and requirements.
- To execute coordination with PMs' for proposal defense, nomination/approval of Foreign evaluators through Doctoral Committee.
- To inform and maintain record of PhD advisors/examiners/evaluators about their payment information through email.
- To collect Departmental Ethical Review Committee (DERC) PhD forms and coordinate with stakeholders.
- To disseminate Research based contract letters of PhD to stakeholders
- To arrange proposal / final defense / end semester evaluation and share the evaluator’s comments with scholars and supervisors.
- To assist in preparing the PhD related documents i.e. Result sheets, Meeting records, final grade sheets, etc.
- To assist Controller Academics in drafting agenda items of PhD programs for Doctoral Committee (DC) meeting and maintaining relevant documentation. (Change of supervisors, progress of PhD scholars etc. )
- To provide support and inform PhD students on issues related to registration / de-registration / withdrawal / plagiarism / time bar / change of supervisors / as per SZABIST polices. (Student handbook)
