Management of working hours

The nature of the main tasks and responsibilities of the holder of this position will require from him to agree to working hours per day/s managed flexibly and according to the official weekly/monthly working hours provision mentioned in the Handbook for National Staff. 

B.  Responsibilities

The Driver/Administrative Assistant is responsible for

  • Safely and responsibly performing all official travels using the assigned official vehicles
  • Regularly servicing and maintaining the official vehicles
  • Maintaining accurately a logbook of all movements in his assigned vehicle
  • Taking account of all available information on road conditions, accessible routes and locations
  • Running official errands and
  • Assisting with any other office work as requested by his supervisor/s 

The Driver/Administrative Assistant performs the following tasks: 

C.  Tasks 

1.   Driving

  • Provides passenger transport in an official car for office, project or programme staff, official visitors and guests
  • Runs errands for the project, programme or office, e.g. sending letters and messages, paying bills and buying of office supplies and ensures safety and confidentiality of any material, mail or documents that are entrusted to him for delivery
  • Helps with transporting goods
  • Completes the vehicle log correctly and conscientiously in accordance with KfW standards
  • Drives safely, in conformity with good driving practices and road traffic regulations and conditions
  • Undertakes field travel as assigned

2.   Service

  • Cleans the interior and exterior of the vehicle(s) regularly
  • regularly conducts maintenance of the vehicles
  • Calculates monthly fuel, oil and lubricant consumption for the daily cash fund and for forwarding monthly vouchers to cost accounting
  • Follows KfW Security Protocol

3.    Knowledge management

  • Uses all available information (including current news on traffic conditions) to update daily knowledge of road conditions current passable routes and locations and shares this information with other office drivers
  • Ensures a prior route survey when driving to unknown locations 

4.   Other duties/additional tasks

  • Assists other colleagues as needed in the office if there is no travel pending, carries out other office work on request
  • Supports organising administrative and logistics aspects of programme activities (meetings, workshops etc.)
  • Serves beverages for external guests
  • Willing to work after hours/over time, including nights and weekends, if required 
  • Ensures unrestricted availability of the vehicle at all times and reports restrictions immediately

D.   Required qualifications, competences and experience 

Qualifications

  • Secondary school education
  • Holds a valid driver’s licence
  • Ideally holds a first aid certificate
  • Ideally has participated in security training for drivers in hostile working environments 

Professional experience

  • At least 2 years’ work experience as a driver with references
  • No major accidents in the past 2 years
  • Previous work experience, including driving bullet proof vehicles, with an international organization is an asset 

Other knowledge, additional competences

  • Good command of English
  • Fluent use and knowledge of the local language widely used in the region
  • Discipline and punctuality
  • Resilience and patience
  • Familiarity with Islamabad, Rawalpindi and other relevant locations.
  • Familiarity with Islamabad-Lahore motorway, Lahore and Punjab region will be an asset.
  • Appropriate appearance and friendly and courteous manner with all passengers
  • Willingness to upgrade his skills as required for the tasks to be performed – corresponding measures are to be agreed with management
