Security is responsible to do the following activities: -

1.      Security:

a.       He has the ultimate responsibility of overall Security of Personnel, Information, and Materials of the company.

b.      Establish security plans, procedures, C-TPAT and other related documents with the consultation of HOD.

c.       Training and awareness of security guards and employees on the security policy.

d.      Responsible for the deployment of security personnel and maintain the weekly/monthly duty roster.

e.       Random checking of security guards available on the different locations.

f.        Responsible to identifying and control any unauthorised and unwanted access in the company.

g.      Responsible to ensure proper working of security cameras, monitoring through security cameras, and planning and ensuring that all sensitive areas are covered, and footages recorded for record.

h.      Responsible to assign responsibilities to the security staff and ensure the security plans are understood, implemented and maintained.

i.        Recommend appropriate corrective / preventive action as a result of investigation of any incident, audit or potential security requirements.

j.        In case of any nonconformity, he is responsible to investigate the root causes and implementation the corrective / preventive actions with due approval of the management.

2.      Fire Safety, Emergency Preparedness & Response.

a.       Responsible to prepare fire fighting procedures, evacuation plans and Fire Risk Assessment.

b.      Establish departmental fire fighting teams and trained them to handle any fire emergency conditions in the factory.    

c.       Monitoring, planning and implementation of fire & safety precaution throughout the company.

d.      Awareness-raising on emergency preparedness and response among the employees.

e.       Plan and ensure that the firefighting equipment are properly installed in the company and operative all the time.

3.      Company Vehicles, Transport and Drivers;

2.1  Repair & Maintenance of Company Vehicles:

a.       He is responsible to manage the repair and maintenance of company vehicles as per Admin-SOP and ensure that the company vehicles are run smoothly.

b.      Ensure optimum use of transport resources including drivers and vehicles.

c.       Maintain the logbook of all company vehicles.

d.      Monitor and manage the timely periodical maintenance of company vehicles i.e. oil change, Fuel & Air filter change, tuning etc.

e.       He is also responsible to monitor that the vehicles rented for pick & drop of workers are arriving on time and also ensure that transport contractors are complying with terms & conditions of the contract.

f.        Ensure that the rental buses are neat, clean and interior/Exterior of buses is appropriate for use and coordinate with vendors for getting the desired level of services as needed.

g.      Coordinate with the HR Manager for any issue related to the workers pick & drop through vendor and company vehicles.

2.2  Assign Duties of Drivers:

a.       He is responsible to assign the duties of drivers for company affairs on a daily basis.

b.      Drivers going for director’s duty shall also intimate to the admin officer, however they are not required to give the details of duty which they are going to perform.  

c.       Coordinate with the HODs and drivers to minimize the unnecessary travelling due to the mismanagement and merge different assignments in one trip, if possible.

d.      Responsible for issuance of duty slips to the drivers and ensure that they are going with due approval of the authorities.

e.       Ensue that the licenses of all drivers are valid and updated.

2.3  Ensue Safety & Security of Company Vehicles:

a.       He is responsible to ensure that the “Safety and Security of Transport” policy is implemented and maintained in its true spirit.

b.      Ensue that the unauthorised employees are not bringing vehicle in the company as defined in the “Transport Safety & Security Policy”. Only authorized employees have this facility as per rules set forth in the policy.

c.       Vehicles are parked on the designated places.

d.      Vehicles, other than company vehicles, are not parked over-night in the company premises without approval of the management.

e.       Responsible to ensure that eyesight and necessary medical check-ups of drivers are performed on the bi-annual basis.

f.        Ensure that the drivers are wearing uniforms as provided by the company.

4.       Discipline at Work:

a.       Responsible to maintain discipline at workplace through security staff like no use of mobile phone, no smoking in the prohibited areas, no violence at workplace, no wandering of employees other than breaks and other discipline areas.
