We are looking for a responsible and driven lady who enjoys engaging with clients, and problem solving.  You will be looking after the overall operation of the hair, skin, and makeup areas including supervision of staff, scheduling, client relations, vendor relations, stock management, etc. In addition to the oversight of these areas, you will ensure that a consistently high standard is maintained and exceeded in accordance with the Salon’s business directives. Ultimately, you will help boost our reputation by building friendly, trusting relationships with customers and vendors.

ESSENTIAL DUTIES:

Human Resource Administration

  • Manage employee's performance and keep score of their performance for recommendations for promotions/bonuses to Salon Director and HR Manager
  • Train, motivate, and supervise employees to improve performance
  • Manage and prepare weekly work schedules and approve service schedule changes and requests for time off to ensure adequate coverage
  • Plan and conduct team building exercises to promote comradery and loyalty to the brand

Salon Administration

  • Oversee the daily operations at the facility  
  • Warmly greet clients and ensure they are satisfied with services in a timely fashion
  • Book and confirm appointments via phone and email, when needed
  • Inform clients of special deals, loyalty programs, & discounts
  • Manage clients who are in waiting, inform them of wait times, offer beverages, and chat with them as they wait
  • Provide consultation to clients for single or multiple services
  • Ensure timely service by each employee
  • Process transactions (cash and credit cards) and issue receipts, when needed
  • Update client records with contact and billing details, appointments, and services offered through the salon software
  • Maintain the appearance and standard of the salon in terms of cleanliness and safety
  • Ensure adequate maintenance of salon tools, appliances, and furniture, in terms of cleanliness & depreciation
  • Ensure maintenance of backup power (generator and UPS) plus timely refueling of generator and wet batteries
  • Manage an efficient laundry management system
  • Ensure an efficient record-keeping of invoices and receipts

Business Administration

  • Ensure the salon is profitable according to budgetary guidelines,
  • Complete inventory duties accurately to ensure that supply inventory is stocked efficiently
  • Schedule meeting with Salon Director bi-weekly to review housekeeping
  • Ensure timely payments of utility bills and inventory expenses
  • Manage business relationships with all external vendors

Job Requirements:

Skills & Competencies

  • Minimum 4 years administrative experience
  • Fluency in English and Urdu
  • Competency in computer usage specifically MS Word and MS Excel
  • Excellent organizational, record-keeping, analytical, and problem-solving/conflict-resolution skills
  • Motivated, professional individual with excellent interpersonal and customer service skills
  • Ability to communicate effectively in a positive and professional manner with all levels of personnel
  • Excellent communication abilities (verbal, phone, and email) with a customer service attitude
  • Ability to accurately meet deadlines and perform independently in a team environment with minimal supervision
  • Strong time management skills, with the ability to meet constant deadlines and handle multiple priorities
  • Ability to multi-task successfully and adapt to rapid change
  • Ability to build employee trust and maintain a high level of confidentiality
  • Ability to demonstrate calm, poise, tact, and diplomacy in stressful circumstances and when interacting with those encountered in the course of work, some of whom may be demanding, dissatisfied or upset
  • Ability to stand or sit for prolonged periods of time
