We are seeking a highly efficient and proactive Personal Assistant to provide comprehensive support to the Director based in Lahore, Pakistan. This full-time position requires managing the Director’s daily schedule, handling communications, preparing documents, and assisting with various operational and personal tasks. The successful candidate will play a crucial role in maintaining an organized and timely workflow, ensuring the smooth operation of the office and contributing significantly to the Director’s productivity.
Key Responsibilities
Manage and coordinate the Director’s daily calendar, including scheduling meetings, appointments, and travel arrangements. Handle all incoming calls, emails, and correspondence, prioritizing and responding on behalf of the Director when necessary. Prepare, format, and proofread reports, presentations, and official documents with accuracy. Maintain organized filing systems for documents, records, and confidential information to ensure easy retrieval and security. Assist with personal errands and provide administrative support for personal tasks as required. Serve as the primary point of contact between the Director and internal or external stakeholders, facilitating clear and timely communication. Attend meetings, take detailed minutes, and track follow-up actions until completion. Coordinate office-related purchases and maintain an inventory of supplies to support daily operations. Ensure timely completion of tasks, reminders, and action points assigned by the Director, maintaining a proactive approach to deadlines.
Required Qualifications
A Bachelor’s degree or equivalent qualification is preferred. Candidates should have prior experience as a Personal Assistant, Executive Assistant, or in a similar administrative role. Exceptional organizational and time-management skills are essential to handle multiple priorities efficiently. Strong communication and interpersonal abilities are required, with excellent English speaking skills being a must. A high level of professionalism, integrity, and the ability to maintain confidentiality at all times is critical. Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, is necessary. The ability to adapt quickly and manage competing demands in a fast-paced environment is expected.
Preferred Qualifications and Benefits
Experience with productivity and collaboration tools such as Google Workspace, Trello, or Notion is advantageous. A background in event planning or project coordination will be considered a plus. Multilingual abilities are also beneficial. The standard working hours for this role are from 12:00 PM to 9:00 PM, with flexibility required during urgent tasks or deadlines. Occasional travel may be necessary to support the Director’s activities. The salary range for this position is PKR 40,000 to 70,000 per month. This is an in-person role based in Lahore.
