Program Background Summary:

The USAID-funded Pakistan Reading Project (PRP), implemented by the International Rescue Committee and its partners, Creative Associates International, World Learning, and Institute of Rural Management, is working with the objective to support the provincial and regional departments of education throughout Pakistan to improve the reading skills of children in grades one and two. The project aims to achieve this goal through three distinct but interrelated components that work in synergy to affect the quality of early grade education: improved classroom learning environment for reading, improved policies and systems for reading, and community based support for reading in Pakistan.

Job Overview/Summary

Major Responsibilities:

·         The Program Officer primary responsibility is to provide high quality, core administrative and technical support to the senior management team including Deputy Chief of Party (Operations), Deputy Chief of Party (Program) and Chief of Party (when required)

·         Provide support to the Deputy Chief of Party(s) DCOPS including, but not limited to setting up of meetings, taking minutes, screening calls and visitors.

·         Raise TR and arrange  national/international travel for official business including provision of tickets, visa and hotel arrangements

·         Maintain proper record of important communication with USAID and HQ especially for QPRs, Quarterly/monthly  Finance Report, and other adhoc communication with the donor

·         Prepare calendar of events like Finance and SC/Admin meeting, Operations and other program meeting. Keep DCOPs informed of the important dates, share agenda, send out invites and take minutes etc and make other arrangements as appropriate.

·         Provide support to KPO Peshawar office in matters for securing approvals or signature on documents where required.

·         Collect time sheets and leave applications of direct reports, get these signed and submitted to HR.

·         Maintain annual leave plan of direct reports of DCOPs

·         Maintain DCOPs program, administrative and other correspondence files in hard copy

·         Coordinate with IRC CO staff on matters on statutory submission like progress reports to EAD, general information requirement for Government agencies etc

·         Act as a backup of Executive Office when she is away.

QUALIFICATIONS

Education:                         

·         University degree in business administration/education/social sciences or related discipline

Work Experience:          

·         At least 4-5 years of relevant experience

Demonstrated Skills:

·         Strong administration, communication, organizational and planning skills.

·         Highly organized, neat, and self-motivated, work with little supervision, work alone or as a team, time-conscious, comfortable working with different types/levels of people.

·         Ability to take initiative and to be appropriately assertive

Language and Computer Skills:

·         Excellent reading and writing skills in English.

·         Excellent computer skills in word processing and other MS Office software.
