A non for profit organization engaged in support of vulnerable communities through its programmes for Orphan kind, Thirst Relief, Emergency Response, Healthcare and Feed Our World in various areas all over the country. Organization requires services of “Executive Assistant”, duties of that position could be as under but not limited to these:

1.      Manage CEO’s electronic diary, assessing priority of appointments and reallocation as necessary;

2.      Ensuring the schedule is up to date and accurate;

3.      Reading and analysing incoming correspondence including memos, submissions, reports, posts and emails to determine their significance and plan their distribution;

4.      Process CEO’s correspondence, ensuring that incoming correspondence is dealt with by the CEO/or on behalf of the CEO;

5.      Drafting responses to correspondence containing routine inquiries;

6.      Responses are processed in an accurate, timely, discreet manner and in line with organizational standards;

7.      Required information is provided promptly and in a professional format in accordance with PA guidelines;

8.      Issues are referred to the correct person for appropriate action; 

9.      Assist CEO in researching and following up with action on matters which fall within the CEO’s responsibility – chasing responses, triggering follow-up action;

10.  Organize appointments, meetings and conferences which may include collating meeting papers, coordinating venues and arranging travel itineraries;

11.  Meeting needs are anticipated and provided;

12.  Produce documents, briefing papers, reports and presentations for the CEO;

13.  Preparing agendas and making arrangements for committee, board, and other meetings;

14.  Taking SLT and all required meeting minutes;

15.  Agendas and Minutes of the Meeting are produced accurately; 

16.  Documents are prepared to a high standard every time and completed in accordance with agreed timelines;

17.  Manage CEO’s travel arrangements (including visas/accommodation);

18.  Maintain records of CEO’s contacts;

19.  Screen calls, enquiries and requests, and deal with them when appropriate;

20.  The CEO’s needs are anticipated and met in a positive, pleasant and discreet manner;

21.  Greeting CEO’s visitors and determining whether they should be given access to specific individuals;

22.  Performing host duties for the CEO including tea and coffee arrangements, ordering food etc;

23.  Host events are well prepared and positive feedback is received;

24.  PA staff and visitors view the Executive Assistant as a knowledgeable, helpful and welcoming first point of contact with the CEO;

25.  Perform any other assignment/duty as assigned by the CEO/Senior Management.

Skills:

1.      Fluent in written and oral english;

2.      A strong and mature individual, with the confidence to take the initiative;

3.      Excellent written and inter-personal communications skills;

4.      Strong personal organization and efficiency;

5.      Ability to work under pressure and prioritize a demanding workload to meet deadlines;

6.      Sound time keeping and forward planning ability;

7.      Positive and flexible attitude;

8.      Motivated self-starter with the ability to prioritize;

9.      Ability to maintain confidentiality;

10.  Knowledge and broad understanding of office protocols in a corporate business work environment;

11.  Solid IT (MS Office) skills.

Qualification & Experience:

1.      Preferably Masters degree

2.      Minimum of 2 years’ experience of working as an Executive Assistant at CEO (or other senior position) level;

3.      Experience of providing administrative support in a fast paced environment
