The Project Coordinator plays a crucial role in supporting the CEO by driving key organizational priorities and managing cross-functional initiatives to ensure the successful execution of strategic projects. Acting as a vital link between the CEO, internal teams, and external stakeholders, this role provides comprehensive administrative, analytical, and project management support. The position demands a proactive approach to facilitate smooth operations, effective communication, and timely delivery of objectives aligned with the company’s goals.

Key Responsibilities

- Coordinate and monitor the progress of strategic projects led by the CEO, ensuring that milestones and deadlines are consistently met.
- Develop detailed project timelines, define clear deliverables, and create dashboards to track project status and overall performance.
- Collaborate closely with department heads to follow up on critical tasks and ensure their timely completion.
- Identify potential risks and delays early, offering practical solutions and recommendations to mitigate challenges.
- Prepare briefing notes, presentations, reports, and other documentation to support the CEO’s decision-making process.
- Assist in planning and organizing CEO meetings, events, and internal review sessions to optimize time and resources.
- Manage travel arrangements, schedules, and logistics related to CEO engagements efficiently.
- Serve as a liaison between the CEO and internal teams, ensuring clear communication of action items and decisions.
- Draft emails, memos, and other communication materials on behalf of the CEO with accuracy and professionalism.
- Engage with external partners, clients, and stakeholders as necessary to support organizational objectives and build strong relationships.
- Conduct research and compile relevant data to inform and enhance the CEO’s strategic decisions.
- Prepare monthly reports, performance summaries, and analytics updates to track organizational progress and highlight areas for improvement.
- Maintain databases, project trackers, and essential documentation to ensure accurate and up-to-date records.
- Support process improvement initiatives across departments to enhance operational efficiency and effectiveness.
- Coordinate special initiatives, events, and high-priority tasks assigned by the CEO, demonstrating flexibility and responsiveness.
- Uphold strict confidentiality and professionalism when handling sensitive information and communications.

Required Qualifications

- Bachelor’s degree in Business Administration, Project Management, Communications, or a related field.
- Between 3 to 7 years of experience in project coordination, executive support, operations, or similar roles.
- Experience working directly with senior leadership is highly valued.
- Strong project management and organizational skills with the ability to manage multiple priorities effectively.
- Excellent written and verbal communication skills, capable of drafting clear and concise documents.
- Proficiency in MS Office, Google Workspace, and project management tools such as Asana, Trello, or Notion.
- Demonstrated analytical and problem-solving abilities to address challenges proactively.
- High level of discretion, professionalism, and integrity in all interactions.

Job Type and Compensation

This is a full-time, in-person position offering a competitive monthly salary range of Rs80,000 to Rs120,000. The role provides a unique opportunity to work closely with senior leadership and contribute directly to the organization’s strategic goals and growth.
