Under the director supervision of the Manager Operations, the Receptionist/Programme Support Assistant shall carry out the following tasks:

  • Answer, screen and forward incoming phone calls.
  • Provide basic and accurate information in-person and via phone/email.
  • Assist with a variety of administrative tasks including copying, faxing, and taking notes.
  • Receive, sort and distribute daily mail/deliveries.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. brochures).
  • Order front office supplies and keep inventory of stock.
  • Update calendars and schedule meetings.
  • Maintain digital and manual filing systems.
  • Facilitate in organizing of workshops, meetings and seminars.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Support the Programme department in their project related activities.
  • Support the operations department for their daily administrative activities
  • Performing task as assigned by the supervisor.
  • Regular exposure to business stakeholders and executive management to provide support to technical problems.
  • Setting up workstations with computers/ laptops and necessary peripheral devices
  • Installing and configuring appropriate software and functions according to specifications.
  • Maintaining and upgrading existing systems.
