We are looking for a multi-skilled Office Cum Project Manager who has the experience to manage office operations, employees and variety of business-critical projects including international clients/employer, reporting , issues identifications of the employees, rectification of employees issues, solve employee grievances, Monday boards reviews, Enforce quality management system,  project estimation, decide deadlines, cost and resource estimations,  key infrastructure changes, application implementations and data Centre (on-prem and cloud-based) upgrades.

  • The successful candidate will be an organized and driven team-player who is success-driven and achievement-oriented.
  • The role will include some travel across sites so having the ability to communicate at all levels will be vital.

Roles & responsibilities

  • Smooth running of office on day to day basis.
  • Open and close the office in time.
  • Managing, supervising and monitory the work of administration/support staff.
  • Implementing and maintaining procedures/office administrative system.
  • Organizing meeting and attend visitors and interview candidates.
  • Maintain Internet availability
  • Daily Check CCTV Cameras are working and report.
  • Maintain employee and visitor logs for reporting
  • Attend customers’ queries and complaints and take prompt action to ensure maximum customer satisfaction
  • Keep management informed by generating and analyzing reports, summarizing information and resolving queries
  • Ensure appropriate housekeeping at floor to maintain productive ambience
  • Gather requirement from employees regarding ordering inventory for official purpose and supervise inventory stock levels
  • Prepare lower staff duty schedules, leave plans and monitor their over times and client entry register
  • Attend to lower staff queries and ensure timely resolutions
  • Provide feedback to lower staff on their performance against expectations; guide, coach and counsel them for performance maximization
  • Provide office supplies (Stationery & kitchen supplies) for staff and maintain adequate stocks; task includes ordering new supplies, identifying new suppliers and obtaining the best price for Alert
  • Process invoices for the team including validating and obtaining authorization for payment
  • Coordination with all departments for maintaining office efficiency
  • Get the office clean from Office/Cleaning Assistant
  • Get the office tables, laptop, accessories and kitchen clean from the office assistant.
  • Arrange food for the employees on daily basis.
  • Any other task assigned by the Management.
  • Ensure staff recruitment is aligned with projects requirements.
  • Coordinate with internal colleagues and clients for the flawless execution of projects.
  • Measure project performance, produce ‘budget vs actual’ reports.
  • Manage changes in project scope, schedule, and costs.
  • Update and share project plans.
  • Work with Technical Managers to manage the Product Backlog Items, organize reviews and communicate activities.
  • Act as the key point of contact and communicate project status to all stakeholders including clients and senior management.
  • Motivate colleagues and ensure high levels of confidence.
  • Assign the tasks/projects to the team members.
  • Get the tasks done from the team members.
  • Get the daily reporting from the team members and report to Senior Management.
  • Any other task assigned by the management

Profile required:

  • Accustomed to managing and delivering projects within Infrastructure and Software development
  • Must have worked on Project Management Tools usch like: Monday.com, Trello, Azure, Jira, Clique, Mister Task or any other tools is must.
  • Must have worked in a remote environment and with any foreigner employer. 
  • Strong technical background with aptitude to develop technical skill set
  • Experience of providing clear and accurate documentation Strong interpersonal skills with ability to communicate with personnel at all levels
  • Ability to elicit co-operation from a wide variety of sources, including senior management, clients and other departments.
  • Experience of working effectively both independently and within team environment
  • Proactive personality who is driven to achieve results

Qualification requirements

  • BBA or Masters in Project Management
  • High achieving educational background -Experience in the fields of Business Management IT &/or Digital Marketing.
  • At least 3 years of experience in project management.
  • A keen eye for detail.
  • Excellent client-facing and internal written and verbal communication skills.
  • Solid organizational skills including multi-tasking skills.
  • Strong working knowledge of Microsoft Office and web technologies.
  • Must be presentable personality.
  • Must have a strong work ethic and be a team player.
  • Must be able to demonstrate problem solving skills.
  • Hands-on experience of using a project management tool is preferred but not essential.
