Responsibilities of Admin & Logistics:

  • Coordinating with project staff, partners & institutions for delivery of goods and exchange of information regarding procurement.
  • Ensuring proper maintenance of assets, office premises, safety & security of office equipment
  • Keeping record of important documents, agreements and contracts.
  • Maintain of monthly expenses of all expenses regarding office maintenance, vehicle maintenance, fuel statements and other related office expenses etc. Ensuring timely renewal of lease tenancy & vehicle insurance.
  • Assist in preparation of admin & procurement budget.
  • Supervising support staff (drivers, security guards, office boys, janitorial staff).
  • Organizing administrative and logistical aspects of project activities (travels, meetings, workshops, event management etc.)
  • Facilitating in staff travel.
  • Maintaining fixed asset register.

Responsibilities of Procurement:

  • Procurement of goods and services for the field office as per Read Foundation’s Procurement Policy.
  • Collecting quotations, preparing comparative statements & getting approvals from purchase committee thereof.
  • Ensuring proper receipt of bids, proposals and document as per HF guidelines.
  • Preparing minutes of meeting of PC, evaluating bids financially and technically.
  • Negotiating with suppliers, evaluating them and reporting line manager for updates of procurement.
  • Preparing & Issuing purchase/work orders and following up for the orders placed.Following up of the goods delivery according to the agreed terms.
  • Ensuring safe and timely delivery of goods at project office and the CBALS.
  • Receiving and verifying invoices and other purchase & imports related documents.
  • Preparing and submitting payment requisitions with finance department.
  • Following up with finance department to ensure timely payment to suppliers.
  • Purchasing office and kitchen supplies.
  • Arranging advertisements in local print media for the project office.

Professional Requirements:

  • Master degree in Management Sciences.
  • At least 3 years of relevant experience with minimum 2 years experience in logistics, procurement and general administration.
  • Experience of working with INGOs/donor agencies/UN preferred
  • Excellent report writing and presentation skills
  • Ability to meet targets within tight deadlines
  • Result-oriented team player and leader
  • Sound judgment, flexibility, adaptability and cultural sensitivity.
  • Good knowledge of Internal Audit processes and procedures
  • Integrity, transparent, persistence, initiative and quick learner
  • Proficiency in MS Office applications and use of internet
  • Ability to work in a multicultural environment
  • Good interpersonal and communication skills in English Language.
  • Team player to solve professional problems
  • Can work under pressure and independently
