Position Summary:

The incumbent would be responsible for providing HR Administrative & Operations support to Country HR Department. 

Job Duties & Responsibilities:

HR Operations:

  • Assist in completing new and existing employee documentation and scanning signed policy documents, CNIC, terrorist check, cross-checking the contract start and end dates and maintain all this information in hard and soft form.
  • Maintain the leave tracker and share leave balance details with all staff on a monthly basis.
  • Maintain the master staff list.
  • Maintain the 90-day assessment and annual review completion tracker and follow up on results.
  • Assist HR Officer in maintaining personal file checklist.
  • Collect, verify and scan monthly timesheets.
  • Verify, scan and dispatch all health insurance claims and maintain this data in a log.
  • Follow up with country and field staff on training completion status of mandatory new hire policies.
  • Traveling to other field office/s for ensuring smooth execution of HR Operations. 

Recruitment:

  • Assist HR Officer in scheduling interviews, following up with candidates and sending out regret emails.
  • Assisting Country Office HR Team in completion of documentation, policy documents of new-joiners in field offices.
  • Any other task assigned by HR Manager.

Expected results:

·         With initiative and judgment produces organized, accurate and well-documented records with well analyzed data and addresses unforeseen situations seeking advice and guidance from supervisor, as necessary.

 Skills and Competencies required

·         Education: At least Bachelor degree in Human Resources/ Social Sciences.

·        Experience: at least 2 years of progressively responsible work experience in NGO, INGO and USAID Aid funded projects.

  • Knowledge: Experience utilizing computers, Microsoft application packages, spreadsheet and other HR standard software packages and systems. General knowledge of UN system HR policies, rules, regulations and procedures.
  • Language: Fluency in both oral and written communication in English.
  • Job competencies: action management, communication, client orientation, interpersonal relations, cognitive capacity, initiative.

Duration of Assignment: 6 months

This position is open on rolling basis and will be filled upon the availability of a suitable candidate.
