This position is for Colabs (Pvt) Ltd, which is a project of Sabcon Associates (Pvt) Ltd.

We are looking for a Front Desk Officer to serve as our client's first point of contact and manage all aspects of their questions and concerns in Colabs' premises.

Front Desk Officer’s responsibilities include registering walk-in clients, managing telephone calls and providing information about Colabs’ Services, rates and amenities. If you have a knack for exceptional customer service and have work experience in the Hospitality industry, we’d like to meet you.

Ultimately, you will help create a pleasant, seamless and friendly working environment for our clients.

Responsibilities:

·       Greet and welcome guests and direct them to relevant person.

·       Give tours of Colabs’ Premises.

·       Greet members that have queries and direct them to community manager or operations when they arrive at the front desk

·       Use our in-house management software to book conference rooms for business meetings.

·       Refer guests or members to common amenities.

·       Acquire basic First-aid training for emergency circumstances.

·       Manage reception for extended hours in case of event, training and seminars.

·       Maintain contact information of all Colabs’ clients, tenants and employees to meet urgent requirements

·       Communicate members complaints and requests to the appropriate department

·       Answer questions and address complaints when required.

·       Check, sort and forward emails.

·       Answer all incoming calls and redirect them to relevant department or save messages.

·       Receive letters, packages and distribute them to recipients

·       Prepare outgoing mail by drafting correspondence, securing parcels etc.

·       Keep front desk tidy and presentable with all necessary material (pens, forms, paper etc.)

·       Mark attendance on daily basis of Colabs Staff.

·       Arrange appointments when required and update appointment calendars.

·       Schedule follow-up appointments.

·       Keep the record of all visitors and guests and register walk-in customers collecting necessary information (like contact details and exact requirements)

·       Issue Access Cards for new members

·       Ensure that people entering the premises with Access Cards are using their own cards

·       Manage and track guest Access Cards

·       Handle payments and assist with recharging payment cards

·       Manage ‘Lost and Found’ ledger, and cross check when an item is claimed

·       Receive payments for lockers, conference rooms and meeting room bookings for non-members.

·       Maintain updated records of payments and forward to accounts & finance department in soft form

·       Inform Colabs’ clients about payment methods and verify their billing data.

·       Other Tasks assigned by management
