Objectives of the function:

Program Officer will work under the direct supervision of Donors Program Manager. He/she will be responsible for contributing overall smooth implementation, development and reporting of program activities for donor funded projects on flood relief and early recovery.

MISSIONS AND ACTIVITIES;

Contribute to overall program management for flood relief and early recovery related donor projects. Provide support for maintaining strong coordination with field teams, ensuring timely support for donor reporting, proposal writing, developing program briefs and ensure proper follow ups on implementation of project workplans.

PROGRAM IMPLEMENTATION, DEVELOPMENT AND REPORTING

  • Support development of new proposals and concept notes linked to emergency response and early recovery.
  • Coordinate with Field offices on a daily/weekly basis and report on progress to Program Manager-Islamabad to ensure smooth implementation of the work plan.
  • Assist the Program Manager- Islamabad in updating the project’s work plan and budgets and ensure all documents in soft and hard form are saved properly and updated regularly.
  • Conduct field visits and share visit reports with the Program Manager- Islamabad.
  • Prepare grant files in hard and soft copies.
  • Extract and communicate gaps in the delivery of relief work in a timely manner for corrective measures and support at procedural level.
  • Coordinate with the support teams and other program staff for the successful completion of project activities.
  • Actively participate in monitoring and verification of project activities at field level in the light of project strategies/procedures/systems.
  • Perform day to day operations/ admin/ technical tasks related to the project activities.

COORDINATION AND REPORTING

  • Actively coordinate for reporting and coordination for the donor projects activities as per donor requirements/ timelines.
  • Maintain liaison with other departments and external partners/stakeholders.
  • Organize and facilitate donor projects related events.
  • Prepare meeting notes and follow up with the relevant staff on action items.
  • Assist the project teams in reviewing and archiving in a compliant manner all project documents.
  • Ensure that all the documents received from field are properly reviewed and verified. Identify gaps in documentation and ensure accuracy.

Communication & Technical Skills; 

  • Experience in report writing and proposal writing.· 
  • Excellent written and oral communication skills.· 
  • Experience in consultation and liaison with government and non-governmental officials.· 
  • Strong organizational and work planning skills, with the ability to prioritize multiple tasks in a high-volume work environment with tight deadlines.· 
  • Ability to plan activities and to set clearly defined objectives and high levels of quality/ productivity for self, own team or department.·
  • Experience in proactively identifying issues and proven problem-solving skills.·
  • Excellent command of English and Urdu (speaking and writing); knowledge of other provincial languages and dialects will be an advantage.
