· Works closely and effectively with the CEO to keep him well informed of upcomings, managing an extremely active calendar of appointments;
· Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.
· Attend meetings and keep minutes of meetings
· Receive and screen phone calls and redirect them when appropriate
· Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
· Make travel arrangements for CEO & Executives
· Handle confidential documents ensuring they remain secure
· Prepare invoices or financial statements and provide assistance in bookkeeping
· Maintain electronic and paper records ensuring information is organized and easily accessible
· Conduct research and prepare presentations or reports as assigned or required
· Provides a bridge for smooth communication between CEO office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
· Sense for the issues taking place in the environment and keeping the CEO updated.
