Under the overall guidance of Chairman and General Secretary, and direct supervision direct supervision of the Manager Programs, the incumbent is responsible to provide management support to SOFT Secretariat in the implementation of the ACIAR, other partnership initiatives and projects development.

Key duties and responsibilities

  • leading the project team and coordinating the project
  • all matters related to project content
  • implementing the agreed action plan to the agreed standards and deadlines
  • regular liaison with the Donor and Partner organization on all project-related matters
  • ensuring the effective preparation and delivery of all project events and meetings and production of all necessary documentation
  • taking responsibility for the effective flow of information between team members, participants in project activities, and the Donor.
  • on-going evaluation of project activity and reporting on project progress to the Donor.
  • Submission of the final results of the project to the Donor.
  • participation at meetings for coordinators nationally and internationally.
  • Facilitate project team communication, through meetings, regular contacts and using communication tools
  • Ensure high quality information and visibility of the Project activities to the mass media and stakeholders;
  • Ensure operational management of the project and production of its outputs.
  • Manage and supervise all aspects of project resource utilization in accordance with POPP guidelines.
  • Prepare terms of reference of all project personnel and short-term national consultants, Resource Persons.
  • Develop and maintain strong relationships with collaborators – at the individual and institutional levels.
  • Assist senior management in concept note development, proposal writing and response to open funding.
  • Maintain updates about current funding opportunities, EOI’s record
  • Provide overall support to the project and program, local and field staff members
  • Develop appropriate materials in collaboration with the Communication Unit at the SOFT Secretariat, which will facilitate information sharing with the general public (e.g. web and media material) as well as with key stakeholders (eg local farmers and communities, relevant local authorities, embassies).
  • Oversee planning, structure, evaluation and reporting of major project meetings.
  • Create, implement, monitor and revise work plans and timelines for project activities and ensure the appropriate allocation of resources.
  • Coordinate project reporting.
  • Manage internal processes on behalf of the project team e.g. archiving, IT requirements, internal reporting.
  • Track project expenditure with the relevant unit concerned at the SOFT Secretariat and give feedback to Program Manager, project leaders and teams.
  • Ensure that funds are transferred on time from funding sources and address any issues related to finance.
  • Manage the daily administration of the project.
  • Draft general correspondence and responses to enquiries and field requests for information.
  • When required, represent Program Manager at project meetings and workshops.
  • Compilation of project reports, meeting minutes
  • Maintain both hard and soft (electronic) Filing system through digitalization of record as per society SOPs.
  • Any other tasks from senior management

Desired Candidate Profile

  • At least a Master’s degree in Agricultural (preferable) or related Water, Biological or Social Sciences from a recognized University.
  • At least 7 years’ work experience on the relevant positions or 10 years’ work experience on relevant profession.
  • Candidate with capacity building, participatory trainings and Extension/program management background will be given priority.
  • Team player with capability to work with people in such a manner as to build high morale and group commitment to objectives
  • Depth of familiarity with project monitoring and evaluation activities
  • Proven capacity as a Project Coordinator and in establishing/working with government and non-government representatives;
  • Results and detail-orientation and the ability to work with a sense of urgency in a multicultural and diverse environment.
  • Ability to work with public and private sector partners
  • Maintain confidentiality of all information that comes by virtue of appointment and in the course of assigned duties
  • Proven communication skills
  • Skills in writing and editing scientific literature and/or ‘general’ material
