This role is based in Karachi, Pakistan, and reports to the Chief Operating Officer based in Dubai, UAE.Job DescriptionThe role of the Admin Officer entails providing administrative, secretarial and operations  support to the Tech Access Karachi office and coordinating with the Admin team in the Dubai HQ office where required.

Key Duties and Responsibilities:

  • Coordinate with Office Manager in Dubai HQ Office for all administrative issues.
  • Coordinate with Office Assistant for all day to day administrative and maintenance requirements of the office.
  • Maintain daily attendance report for all office employees, via manual record keeping or fingerprint access machine, and send them to the Office Manager in Dubai HQ Office.
  • Coordinate with the HR Coordinator in Dubai HQ Office for local Karachi office monthly payroll.
  • Screen telephone calls, inquiries and requests and handle them appropriately.
  • Provide a professional and courteous reception service to callers & guests, maintain reception and office tidy at all times with professional appearance.
  • Routine secretarial and general administrative work.
  • Manage meeting rooms via Microsoft Outlook Calendar.
  • Receive emails. All relevant email should be replied if necessary or forward to concerned persons.
  • Handle all Domestic and International shipments of documents and packages via Courier services.
  • Receive mails from Couriers. All received mails should be logged in register book “incoming mails”.
  • Coordinate with Office Assistants for mail collection & distribution from PO Box.
  • Coordinate with Office Assistants for refreshment (coffee/tea/water) and other supplies especially in pantry stocks.
  • Hand over the payment cheques issued for suppliers.
  • Maintain Petty Cash box and handle all internal employees’ petty cash reimbursements; coordinate with Finance team in Dubai HQ office for petty cash reconciliation.

Qualifications:

  • Excellent communications skills and fluency in English 
  • 2-4 years’ previous experience as Admin Officer or Manager.
  • Proactive and friendly attitude.
  • Friendly and approachable personality, helpful, a “can do anything and everything” attitude.
  • Multi-tasking ability and flexibility to work in a dynamic and ever-evolving environment, and work well under pressure to meet tight deadlines.
  • Educational degree.
  • Exceptional computer literacy, including familiarity with Microsoft Office Suite (Word, Excel, and Outlook).
  • Familiarity with courier services and procedures.
  • Highly developed organizational skills.
  • Proven ability to manage competing priorities under pressure.
  • Initiative.
  • Maturity to handle a range of situations.
  • A meticulous and thorough nature.
  • An ability to work to tight deadlines.
  • Outstanding verbal and written communication skills.
  • Loyalty and a high level of confidentiality.
