Program Management & Program Coordination:
• Prepares and coordinates program level documents such as (i.e. work plans, project information memoranda, communications strategies, evaluation plans, project reports or briefings, reports to donors, reports of meetings)
• Prepare activity calendars for quarterly workplans.
• Coordinates, collects and centralizes all information about the activities of the program.
• Develops and implements team processes in order to ensure good work flow within the team• Acts as point of contact for enquiries about the program
• Contributes to liaison with key partners to ensure good working relationships
Knowledge Management:
• Coordinates with consultants to ensure program learning across diverse activities and dissemination of good practices• Participates in the self-assessment of the program as part of the external review process and in the preparation of the end-of-cycle report
• Contributes analysis about program outcomes based on an overall program perspective to contribute to team learning and discussions on future programming• Reviews project and program material and prepares synthesis documents of results, decisions, and directions for team discussion• Manage trainers’, startups, consultants’ and mentors’ database.
Communications:
• Contributes to the implementation of a communication & branding strategy for internal and external audiences and coordinates its implementation
• Reviews, journal or newsletter articles, manuscripts and other documents for publication or presentation
• Focal person for managing and updating project’s social media accounts
• Contributes to the organization website and newsletter, writes abstracts, and keeps information current, coordinates the content and prepares project profiles
• Prepares and coordinates written, graphic, visual materials, web site content and other social media for public presentation/dissemination (networking, public relations purposes or for revenue generation)
• Prepares reports and briefing notes on project outputs for different audiences (technical, academic, policy as well as the general public)• Act as focal person with relevant with donor, partners, mentors, startups and consultants
Event Management:
• Ensure smooth organization of events
• Coordinate all the tasks relevant to event organization
General Administration:
• Manage procurement process i.e. developing RFPs, EoIs for hiring of consultants, trainers etc.
• Maintains the program’s pipeline of activities throughout the year,
• Files documents according to the required protocol
• Acts as custodian of the program’s documents to ensure that key documents are available and accessible
• Generates and provides information as requested, often on an urgent basis, for both internal and external audiences• Performs initial review and coordinates the selection process for potential interns, awardees and summer students for the program
Other Responsibilities:
• Contribute to short and long-term organizational planning and strategy as a member of the management team• Traveling to the project managing events.
• Promotes knowledge sharing through a project calendar consistent with project priorities and work plan.
• Participates in cross-functional project teams to implement initiatives, as assigned.
• Leads in problem-solving and respond immediately to time-sensitive issues, developing solutions that meet client needs.
• Contributes to the planning and coordinating a variety of activities such as team building, work planning, and client and technical meetings and conferences.
• Demonstrates leadership, versatility, and integrity in the performance of work, following TiE Islamabad’s Code of Business Conduct.
• Fosters and demonstrates a workplace inclusive of creating opportunity, serving others, building trust, innovation, and exceeding expectations
• Provide support and guidance to project team as and when needed• Any other project or organizational specific task assigned by the Executive Director
