The Senior Administrator is responsible for overseeing and managing the administrative, operational, and facility functions of the software house. This role ensures smooth business operations, supports project teams and management, maintains compliance with company policies, and contributes to creating an efficient, productive, and employee-friendly work environment.

Key Responsibilities

1. Administrative Operations

• Manage day-to-day administrative activities, including office operations, documentation, and coordination between departments.

• Supervise administrative and support staff; ensure timely completion of assigned tasks.

• Develop and maintain company policies, procedures, and operational manuals.

• Handle correspondence, scheduling, and document management efficiently.

2. HR and Employee Support

• Assist HR in recruitment coordination, onboarding, and maintaining employee records.

• Organize staff training sessions, workshops, and team-building activities.

• Support payroll processing, attendance management, and benefits administration.

• Ensure a positive and compliant workplace culture aligned with company values.

3. Financial and Procurement Support

• Prepare administrative budgets and monitor expenses.

• Handle procurement of office supplies, IT equipment, and other operational resources.

• Coordinate with vendors, negotiate contracts, and monitor service delivery.

• Support finance in preparing expense reports and financial documentation.

4. Office & Facility Management

• Oversee maintenance of office infrastructure, workstations, and IT assets.

• Ensure health, safety, and security protocols are followed within the premises.

• Manage office space allocation, utilities, and housekeeping services.

5. Compliance & Reporting

• Ensure all administrative processes comply with local labor laws, data protection, and company policies.

• Maintain proper documentation for audits and compliance checks.

• Prepare regular operational reports for senior management.

6. Coordination & Communication

• Act as the point of contact between management and internal teams for administrative matters.

• Support coordination of meetings and company events.

• Facilitate effective communication across departments to streamline operations.

Qualifications & Experience

• Bachelor’s degree in business administration, management, or related field (Master’s preferred).

• Minimum 5–8 years of experience in administration or operations, ideally in a software house or IT services company.

• Familiarity with agile environments, tech industry operations, and HR best practices.

• Proficiency in MS Office Suite, Google Workspace, and project management tools (e.g., Asana, Jira, or Trello).
