Visionary Advisors seeks a dedicated Lead Follow-Up & NDIS Documentation Officer to support our client engagement and documentation processes. This role demands a professional with strong communication and organisational skills who can efficiently handle follow-ups and maintain detailed, accurate records related to the National Disability Insurance Scheme (NDIS). The ideal candidate demonstrates excellent written and verbal English skills, proficiency in Microsoft Word, Excel, and Google Workspace, and the ability to work independently while meeting deadlines. A professional attitude with meticulous attention to detail is essential for success in this position. Although team management is not part of this role, the Lead Follow-Up & NDIS Documentation Officer plays a vital part in ensuring seamless communication between clients and internal teams while supporting compliance with Australian NDIS standards. Experience in healthcare, disability, or consulting industries and familiarity with documentation and compliance are valuable. Additional skills in Canva, AI tools, CRM systems, website management, video editing, social media content creation, and marketing material development provide a competitive edge.
Responsibilities

  • Manage and maintain effective follow-up communication with leads and clients to ensure timely responses and engagement.
  • Prepare, review, and organise documentation in compliance with NDIS standards and company policies.
  • Create and maintain accurate records of client interactions, documentation status, and follow-up activities.
  • Draft professional emails and written communication that reflect the companys standards and professionalism.
  • Utilise Microsoft Word, Excel, and Google Workspace tools to generate, edit, and manage documents and spreadsheets efficiently.
  • Coordinate with internal teams and external clients to ensure continuity and accuracy of information and documentation.
  • Apply strong organisational and time-management skills to prioritise tasks and meet established deadlines independently.
  • Assist in developing marketing materials, graphics, and short-form content, leveraging Canva and AI tools as needed.
  • Support website management including basic website design and updates using platforms like GoDaddy and WordPress.
  • Engage in video editing and social media content creation to help strengthen the companys online presence.
  • Maintain a professional and detail-oriented approach in all communications and documentation processes.
  • Adapt to remote work settings and manage projects effectively when working with international clients.
