Responsibilities

  • Plan, organize, and oversee all aspects of event operations including weddings, social gatherings, and corporate functions in marriage halls, farmhouses, and other venues.
  • Lead, mentor, and manage a team of three employees to ensure high-quality execution of events and alignment with organizational objectives.
  • Develop comprehensive project plans that include timelines, resource allocation, budgeting, and vendor coordination for each event.
  • Negotiate contracts and terms with suppliers, vendors, and service providers to secure favorable arrangements while maintaining quality standards.
  • Manage budgets effectively by monitoring expenses, forecasting costs, and identifying cost-saving opportunities without compromising event quality.
  • Coordinate logistics including venue preparation, transportation, equipment setup, and on-site event supervision to ensure smooth operation.
  • Conduct thorough risk assessments prior to events and implement risk management strategies to mitigate potential issues during execution.
  • Maintain strong relationships with clients to understand their event requirements, provide regular updates, and ensure satisfaction throughout the planning and delivery process.
  • Utilize supplier relationship management software and other communication tools to streamline vendor interactions and enhance coordination.
  • Monitor event performance metrics and client feedback to identify areas for improvement and implement continuous operational enhancements.
  • Ensure compliance with relevant legal, safety, and regulatory requirements governing event operations in various venue types.
  • Collaborate with cross-functional teams within Vista Group to integrate marketing, sales, and creative services with event operations.
  • Prepare detailed reports on event outcomes, financial performance, and operational efficiencies for senior management review.
  • Stay updated on industry trends, emerging event technologies, and best practices to maintain competitive advantage and elevate event quality.
  • Conduct post-event evaluations and debriefings with team members and stakeholders to identify lessons learned and drive future success.
