HOUSE KEEPING 

  • Maintains office services by organizing office operations, controlling correspondence; maintaining filing systems; reviewing and approving office supply requisitions; assigning and monitoring clerical functions.
  •  Responding to customer inquires and complaints
  • Making office announcements and responding to emails
  • To arrange for printing of pre-post company’s envelopes
  • To take follow up regarding service of all air conditioners at the start of Summers
  • Taking quotations from courier companies for delivery of international shipments from Karachi Sea port
  • Supervising cleanliness of the office and getting main hall, reception, parking and washrooms cleaned 2-3 times a day.
  • Follow up about cleaning of cams once a month.
  • Taking quotations from different vendors for paint, tiles, blinds repair etc
  • To take follow up about cleaning office chairs
  • To keep follow up and get floor cleaned with a cleaner after every month
  • To handle Installation, shifting and dismantling tasks
  • To arrange for a First-Aid kit and keep the medicines’ stock up to date in case of any emergency need
  • To check old and new rents in the rent sheet
  • To make sure that stationary is arranged for newly hired employees.
  • Updating phone tags on IP phones.
  • To get IP phones configured at all the workstations
  • Handling renovations task
  • To get tracking machine installed in the vehicles
  • Maintenance and repair of Biometric machines and purchase of new biometric machine, if there is a need.
  • To get quotation for import/ export international account from courier companies
  • Clearance of TCS pending bill
  • Managing special projects.
  • Effort by accomplishing related results.

GENERAL ADMINISTRATION

  • Ensure availability of stationery, IT equipment’s etc at office.
  • Responsible for the implementation of all statutory regulations relating to safety requirements.
  • Ensure that all building civil work are at all times properly maintained and repaired through the enlisted vendors so that a high standard of cleanliness is kept.
  • Responsible for the general discipline of non-management staff.
  • Keep track record of all petty cash related to repair and maintenance work
  • Keep liaison with regional office for correspondence.
  • Maintain all types of record including fixed assets.
  • Keep the record of petty cash and utilized if / when required.
  • Ensure cleanliness of complete office
  • To deal with plumber / sanitary works.
  • To arrange maintenance of furniture.
  • Establish close liaison with skilled resources i.e. plumber, painter, electricians etc for out sources.

SECURITY

  • Administer policies and procedures relating to employee and security and recommends improvements or changes as may be necessary from time to time.
  • Full responsibility through his chain of command for the security and visitors.
  • To supervise the recording and monitoring of all outgoing goods from, and incoming deliveries to, the Office.
  • To supervise monitoring of the movement of all personnel and visitors in to and out of the office.
  • To supervise the recording and monitoring of the movement of all keys for the office.
  • Responsible for the general housekeeping within the office areas, and for upkeep of surrounding areas.
  • Responsible for the maintenance of all fire-fighting equipment and alarm systems
