Job Description

We are looking for a Executive Assistant to be the right-hand of our CEO for all personal and business matters.

  • Candidates must have great attention to detail and be able to work independently with minimum supervision.
  • This is a full-time job in CST time zone.
  • Normal hours will be Monday – Friday from 9am CST to 5PM CST, however there will be times during the weekends or after hours where you will need to be responsive.

Responsibilities

  • Be always available and respond promptly to CEO’s requests.
  • Schedule meetings, manage the calendar.
  • Perform day-to-day administrative tasks and reminders.
  • Answer emails, make phone calls and follow up on pending tasks.
  • Perform product/market research and data entry tasks when required.
  • Format and edit documents.
  • Reach out to media to increase publications on our company products.
  • Review Customer Service report on product issues and notify CEO of problems that require attention.
  • Create shipping labels and draft purchase agreements when needed.
  • Make travel arrangements, create expense reports.
  • Assist with personal requests like purchasing gifts, booking medical appointments, etc.
  • Organize and maintain CEO’s e-mail inboxes while directing him to priority matters.
  • Research diligently subject matters that are important to the CEO.
  • Overly responsive and communicative over Slack, Whatsapp, Email, etc.
  • Always be in a learning & growth mode.
  • Ensure everything is running smoothly and that the CEO is only working on high level matters that impact the businesses.

Requirements

  • Education: High school diploma, BA is a plus.
  • Minimum 2 years of experience as an Executive/Administrative Assistant.
  • Excellent command over spoken and written English.
  • Outstanding communication skills over phone, email and instant messaging.
  • Previous experience working remotely or as Virtual Assistant is a plus.
  • Experience with MS Office, video conferencing and scheduling tools.
  • MS Excel intermediate level.
  • Solid organizational skills and detail oriented.
  • Ability to multitask and work under pressure.
  • Own a computer, headset and have a reliable high-speed internet connection for video calling on a daily basis, if needed.
