PROJECT DESCRIPTION

Advancing Girls Education & Skills (AGES) USAID-funded program will be operating in four provinces (Sindh, Balochistan, Punjab, and Khyber Pakhtunkhwa) of Pakistan.  The four-year program works to improve access to formal and informal education, engage communities to support expanded educational and employment opportunities, and collaborate with the Pakistani government to strengthen policies which support girls and young women.

 

RESPONSIBILITIES:

Summary:

 

The Finance and Admin Officer is responsible for assisting supervisor to ensure a clean, well-organized, professional, and administratively efficient office environment for AGES staff and visitors. The officer conducts the financial review processes and works with WL/AGES Islamabad-based Senior Managers for Finance/ Operations. The officer will ensure an efficient and effective processing of the financial documents. The Finance and Admin Officer will have a thorough knowledge of financial and administrative policies and procedures of WL/AGES.

 

 

Job Responsibilities:

  • Ensuring daily transactions to be recorded in the QB/INTACCT.
  • Ensure timely deduction of tax in to the Government treasury and reporting thereof.
  • Ensure that the payments are checked and process in two working days after the receipt of request.
  • Reviewing the vouchers in compliance with the existing policies and ensuring appropriate documentation to avoid any audit gaps.

·         Coordinate with banks with regards to project activities.

  • Preparing weekly budget vs actual updates for the project and share with the provincial team lead and senior manager finance.
  • Prepare monthly Payroll and submit to senior manager finance for review along with the correct tax deductions and benefit calculations.
  • Prepare weekly Bank reconciliations and timely receipt of petty cash counts on weekly basis.
  • Preparing monthly cash request and ensure weekly tracking report on the forecast against actuals.
  • Verify all staff final settlements in the light of the policies and supporting documents.
  • Responsible for assisting the supervisor in managing AGES office equipment, utilities, including routing services and maintenance, and acquisitions needed for AGES office operations and maintenance 
  • Maintaining up-to-date record and filing system.

·         Assist team lead for HR related matters.

·         Ensure safety standard for the vehicles and proper tracking of the local travel and report senior operations manager on periodic basis. 

·         Ensure adequate support for the local travel of the staff.

·         Keep updated records of prepayments in respect to staff insurance, rents for all programs and their monthly amortization, track their utility bills and travel expenses and report to senior operations manager on periodic basis.

·         Perform physical Inventory check and report to senior operations manager on quarterly basis.

·         Produce month and quarterly reports to be reviewed by the senior manager finance/operations.

·         Participate in the management meetings internally.

·         Perform other duties, as necessary and/or as requested.

 

QUALIFICATIONS

 

Education:

·          Master’s or Bachelor’s degree in Accounting, or Finance. Partially CA, ICMA or ACCA qualified. Advanced Diploma in Accounting from College/Institutions.

 

Work Experiences:

·         Minimum of three years of managerial experience. 

·         Experience with an International NGO preferably with USAID.

 

Demonstrated Skills:

·         The candidate should be mature and comfortable in a multi-cultural work environment, promote teamwork and able to handle pressure with professional grace.

·         Able to work independently, make decisions and exhibit flexibility.

 

Language and Computer Skills:

·         Proficient in MS suite applications;

·         Significant experience in cloud based ERP system will be an added advantage.

·         Proficiency in English is required

 

Travel:

  • Willing to travel when required.
