This position ensures the platform’s stability, configuration, access controls, integrations, and data integrity, allowing academic and resource coordinators to focus on content delivery and learning materials. The role involves maintaining the system’s day-to-day operations, troubleshooting technical issues, and supporting compliance requirements, all while working remotely within India or Pakistan. Candidates should have 1 to 3 years of relevant experience and be comfortable managing Moodle as a technical infrastructure rather than handling academic content directly.
Key Responsibilities

- Manage user accounts across campuses, creating, modifying, or decommissioning access for trainers, assessors, students, and administrative staff.
- Prepare Moodle course shells ahead of each intake in collaboration with the Academic Resource Coordinator, who manages the pedagogical content.
- Set up attendance, engagement, and progress-tracking features to meet CRICOS/ESOS student monitoring obligations.
- Oversee Moodle plugins, themes, and add-ons, evaluating new requests from trainers or academic staff.
- Manage integration and data synchronization between Moodle and student management systems such as aXcelerate, as well as other platforms like PRISMS and assessment tools.
- Monitor data integrity across systems, resolving discrepancies or synchronization failures between LMS and SMS records.
- Maintain backup, archiving, and version control for LMS data, course structures, and historical cohorts.
- Generate reports on login activity, course completion, engagement, and attendance to support academic and compliance needs.
- Serve as the first point of contact for technical issues related to Moodle, assisting trainers, assessors, and students with login, access, and content display problems.
- Liaise with Moodle hosting and support providers regarding bugs, outages, upgrades, and feature requests, testing updates before deployment.
- Maintain help documentation and provide basic system training and inductions for new trainers and staff.
- Escalate unresolved technical or vendor issues and track them through to resolution.
- Ensure Moodle configurations support compliance with ASQA, CRICOS, and National Code requirements for student engagement and progress monitoring.
- Assist with audits and re-registration processes by producing system-level evidence such as access logs, engagement reports, and audit trails.
- Collaborate with the Academic Coordinator and compliance team to reconcile Moodle data with official student records.
- Uphold data security and confidentiality in accordance with privacy legislation and college policies.
Required Qualifications
- Diploma or Bachelor’s degree in IT, Information Systems, Education Technology, or a related field. Relevant experience may be considered in lieu of formal qualifications.
- 1 to 3 years’ experience administering Moodle or a similar LMS within an education, training, or RTO/CRICOS environment.
- Working knowledge of student management systems like aXcelerate and understanding of Moodle/SMS integration processes.
- Familiarity with VET/CRICOS compliance requirements related to student engagement and progress monitoring, or a strong willingness to learn.
- Strong technical troubleshooting skills, with proficiency in Moodle’s administrative settings, user permissions, plugins, and reporting tools.
- Excellent attention to detail and ability to manage competing requests from trainers, students, and compliance personnel.
Key Attributes
- Systems-oriented and technically confident, with a clear focus on managing Moodle as an infrastructure platform.
- Responsive and service-minded when addressing technical issues for academic staff and students.
- Effective communicator, able to explain technical matters clearly to non-technical colleagues.
- Collaborative team player who works closely with academic and resource coordinators without overlapping responsibilities.
