The Academic Resource Coordinator plays a vital role in supporting academic delivery by managing learning materials, systems, and academic data for trainers, assessors, and students. This position ensures that all resources, including course content, learning management systems, and assessment tools, are up-to-date, compliant, and easily accessible. Acting as a key operational link between academic teams and administrative functions, the coordinator supports smooth academic operations within single or multi-campus environments, including Registered Training Organisations (RTO) and CRICOS-registered institutions.

Key Responsibilities

- Source, develop, and maintain learning and assessment resources such as course materials, Training and Assessment Strategy (TAS) documents, and marking guides, ensuring alignment with curriculum standards.
- Maintain a centralized resource library or repository, overseeing version control, archiving, and easy retrieval for trainers and assessors.
- Collaborate with subject matter experts and trainers to review and update resources annually or in response to legislative or curriculum changes.
- Manage licensing, copyright compliance, and subscriptions related to academic resources and databases.
- Maintain accurate student and academic records within student management systems (e.g., aXcelerate) and, where applicable, PRISMS.
- Monitor and update timetables, session plans, and resource allocation across campuses to optimize academic delivery.
- Support compliance reporting aligned with AVETMISS and NCVER requirements, preparing evidence for audits conducted by ASQA and CRICOS.
- Liaise with Admissions and Student Services teams to stay informed about credit transfers, Recognition of Prior Learning (RPL), and Language, Literacy, and Numeracy (LLN) outcomes that impact resource planning and scheduling.

Required Qualifications

- Bachelor’s degree in Education, Library or Information Science, or a related field. Candidates with a Diploma combined with relevant experience will also be considered.
- Between 2 to 4 years of experience in academic administration, resource coordination, or within RTO/education operations.
- Proficiency with Learning Management Systems (LMS) and Student Management Systems (SMS) such as aXcelerate, Moodle, or Canvas.
- Familiarity with Vocational Education and Training (VET) compliance frameworks is highly advantageous.
- Strong organisational skills with keen attention to detail and the ability to manage multiple stakeholders effectively.
- Excellent written communication skills, capable of producing clear policy documents, handbooks, and resource materials.

Preferred Qualifications and Attributes

- A detail-oriented and systems-focused approach, comfortable with maintaining data accuracy and comprehensive documentation.
- Proactive mindset in identifying and addressing resource gaps before they impact academic staff or students.
- Collaborative working style, engaging closely with academic teams, compliance officers, and student support services to ensure seamless operations.

This role reports directly to the Academic Manager or Head of Academic Operations and is suited for candidates at an entry to mid-level coordinator position with 2 to 4 years of relevant experience. The position may involve working across single or multiple campuses, including those with RTO and CRICOS registrations.
