The role includes processing customer and vendor invoices, supporting month-end closing activities, and assisting with audits to ensure compliance and financial accuracy.
Key Responsibilities
Bank Payments and Receipts:
- Record all outgoing payments such as vendor payments, salaries, refunds, fees, and transfers in the ERP system on the day they clear.
- Apply incoming receipts to the correct customer invoices, posting unidentified receipts to suspense accounts and resolving them within two business days.
- Record daily bank charges, foreign exchange differences, interest, and inter-account transfers.
- Attach bank advice, approved payment requests, and invoices to every payment entry.
Customer Invoices (Accounts Receivable):
- Generate and post customer invoices in the ERP based on approved contracts, purchase orders, or billing reports.
- Ensure all invoices comply with ZATCA regulations, including correct VAT rates, VAT numbers, QR codes, and e-invoice clearance status.
- Post invoices on the day of issue without leaving drafts overnight.
- Maintain accurate customer master data including names, VAT numbers, credit terms, and addresses.
Vendor Invoices (Accounts Payable):
- Record vendor invoices on receipt, matching them to purchase orders and goods/service receipts through 2- or 3-way matching.
- Validate vendor VAT numbers, VAT amounts, invoice dates, and tax invoice validity before claiming input VAT.
- Assign invoices to the correct general ledger accounts, cost centers, and projects.
- Identify and flag duplicate invoices, discrepancies, and missing approvals prior to posting.
- Maintain vendor master data and bank details following the approved change process.
Credit Notes and Adjustments:
- Record customer and vendor credit notes referencing original invoices with approved reasons.
- Ensure credit notes comply with ZATCA rules and correctly reverse VAT.
- Prepare journal entries for accruals, prepayments, and reclassifications with supporting documentation.
Supporting Documents:
- Attach complete supporting documentation to every ERP entry at posting, including source documents, approvals, and calculations.
- Follow standard file naming conventions for audit readiness.
- Promptly request missing documents and escalate if not received within one business day.
Daily Posting:
- Clear daily transaction queues by posting all received transactions before the end of the day.
- Report unpostable items to the Supervisor with reasons such as missing approvals or documents.
Daily Bank Reconciliation:
- Download bank statements each morning for assigned accounts and reconcile daily to ERP records.
- Book missing entries promptly and explain reconciling items, escalating unresolved items older than three business days.
- Submit completed reconciliations for Supervisor review by the daily cut-off time.
Month-End and Audit Support:
- Prepare sub-ledger reconciliations and aging reports for accounts receivable, accounts payable, VAT, and suspense accounts.
- Support month-end closing, VAT return preparation, and internal/external audit requests.
- Respond to vendor statement reconciliations and customer balance confirmations.
Required Qualifications
