The Payable Officer will manage the day-to-day accounts payable functions for a UAE-based logistics and transportation company. This role involves accurately recording supplier invoices and expenses, ensuring proper matching with supporting documents and approvals, reconciling supplier balances, and processing approved payments promptly. The position reports to the Senior Manager – Finance and collaborates closely with procurement, operations, commercial teams, and UAE-based management while providing finance support remotely from Islamabad.
Key Responsibilities
Accounts Payable & Bill Processing: Receive, review, and record supplier invoices and bills in the accounting or ERP system. Verify invoices against purchase orders, contracts, service agreements, or delivery documentation. Ensure all invoices have appropriate approvals before processing. Allocate expenses correctly to relevant cost centers, departments, vehicles, routes, customers, or business activities. Identify and flag duplicate, incorrect, or unsupported invoices. Maintain an organized supplier invoice filing system.
Supplier Management: Maintain accurate supplier and vendor accounts. Reconcile supplier statements and resolve any discrepancies. Respond promptly to supplier queries regarding invoices and payment status. Keep the Accounts Payable Ageing Report up to date. Monitor upcoming payment obligations and provide payment due-date information to the finance team.
Payments: Prepare payment schedules based on approved invoices and agreed terms. Draft payment instructions for review and approval by authorized personnel. Process approved supplier and operational payments, ensuring payments are recorded and allocated correctly against outstanding invoices. Maintain payment records and supporting documentation. Coordinate with the Senior Manager – Finance regarding payment priorities and cash flow requirements.
Expenses & Operational Costs: Record operational expenses such as fleet-related costs, fuel, maintenance, transportation services, subcontractors, utilities, and other business expenses. Ensure employee and operational expense claims are properly supported and approved. Assist in monitoring recurring expenses and supplier commitments. Highlight any unusual or significant cost movements to the Senior Manager – Finance.
Reporting & Reconciliation: Prepare weekly and monthly accounts payable reports, including supplier ageing reports. Perform supplier statement reconciliations and assist with bank and payment reconciliations. Support month-end closing activities and provide information required for cash flow forecasting.
Controls & Compliance: Ensure all payments are supported by appropriate documentation and approvals. Maintain segregation between invoice processing and payment approval. Ensure correct UAE VAT treatment is applied. Maintain complete audit trails and assist internal and external auditors with accounts payable documentation. Ensure finance records comply with company policies and controls.
Required Qualifications
A Bachelor’s degree in Commerce (B.Com), ACCA finalist, CA Intermediate, CMA Intermediate, or an equivalent qualification is required. Candidates should have 2 to 4 years of relevant experience in accounts payable, purchase ledger, or finance operations. A good understanding of supplier invoice processing and payment cycles is essential. Experience working with ERP or accounting systems is expected. Strong Excel skills and the ability to perform reconciliations accurately are necessary. Candidates must demonstrate high attention to detail, strong organizational skills, and the ability to manage multiple suppliers and payment deadlines effectively.
Preferred Qualifications and Benefits
Experience in logistics, transportation, fleet management, or service industries will be considered an advantage. Exposure to UAE accounting standards and VAT regulations is also beneficial.
