Aiming Change for Tomorrow (ACT) International, in partnership with UNICEF Punjab and in coordination with BISP/Benazir Nashonuma Programme (BNP), the Punjab Department of Health, Lady Health Worker Programme, and relevant district stakeholders, is implementing BNP 3.0 across ten districts of Punjab. This programme focuses on improving maternal, child, and adolescent nutrition while strengthening gender-responsive nutrition and social protection systems among BISP beneficiary households. Activities will be delivered through existing BNP Facilitation Centres, Support Centres, and community structures. The programme emphasizes Social and Behaviour Change (SBC), Early Childhood Development (ECD), parenting and nurturing care, community engagement, counselling, referrals, follow-up, youth engagement, and capacity development. Staff will work closely with communities and stakeholders to promote awareness, mobilization, referrals, and beneficiary engagement, adhering to ACT, UNICEF, BISP/BNP, and Government of Punjab policies, including gender equality, disability inclusion, safeguarding, child protection, confidentiality, and responsible data management. All roles are strictly non-clinical.

Key Responsibilities

Administration & Office Support: Manage daily administrative operations of the project office following ACT International policies. Maintain organized files, correspondence, approvals, and document-tracking systems. Coordinate office supplies, communications, meetings, visitor arrangements, and staff communication while ensuring confidentiality and security of sensitive information.

Logistics & Field Support: Plan and coordinate logistics for field activities, trainings, workshops, monitoring visits, and community events. Arrange venues, seating, refreshments, equipment, materials, and transportation. Support travel arrangements for staff, trainers, and monitoring teams, maintaining logistics schedules and records. Identify and report any logistical challenges affecting programme delivery.

Procurement & Supplier Coordination: Assist in procurement processes in line with ACT policies, including preparing requisitions, obtaining quotations, and maintaining procurement documentation. Liaise with suppliers to confirm deliveries and resolve issues. Verify receipt of goods and services before submitting payment documentation and maintain organized vendor records.

Assets, Materials & Inventory: Maintain asset registers, inventory lists, issuance records, and conduct physical verifications. Ensure proper tagging, storage, issuance, transfer, and maintenance of project equipment and materials. Manage distribution of counselling, IEC/SBC materials, ECD kits, and event equipment. Report any loss, damage, or shortages promptly.

Trainings, Events & Campaigns: Provide logistical support for staff induction, trainings, refresher sessions, meetings, workshops, cooking demonstrations, support groups, and community sessions. Arrange venues, materials, equipment, and participant support for community engagement activities. Maintain attendance and payment documentation, ensuring venues are safe and accessible for all participants.

Compliance, Safety & Security: Ensure all administrative, logistics, procurement, travel, and asset management activities comply with ACT policies and internal controls. Maintain auditable documentation and support audits and donor visits. Apply safety and security measures for office arrangements, travel, and events. Report operational, safety, security, fraud-risk, and compliance concerns promptly.

Required Qualifications

A Bachelor’s degree in Business Administration, Logistics, Supply Chain, Management, Commerce, or a related field is required. Candidates must have at least five years of relevant experience in administration, logistics, procurement, operations, or supply-chain support. Proven expertise in procurement documentation, vendor coordination, inventory management, and travel arrangements is essential. Experience organizing trainings, workshops, meetings, and multi-site events is necessary. Prior involvement in donor-funded development or humanitarian programmes is highly desirable.

Preferred Qualifications and Benefits

Professional training in procurement, administration, logistics, or asset management is advantageous. Experience working with NGOs, INGOs, or development organizations will be considered a strong asset. Proficiency in MS Office, particularly Word and Excel, is required. The role demands strong organizational, communication, and problem-solving skills, with high integrity and professionalism. The candidate should be able and willing to travel to project locations as needed.
