The Admin Officer will oversee the daily administrative functions to ensure efficient office operations and safeguard company assets. This role involves managing vendor relationships, supervising maintenance activities, controlling administrative expenses, and coordinating with building management and internal departments. The Admin Officer will also be responsible for maintaining company records, including asset registers and vehicle fleet documentation, while ensuring compliance with health and safety policies.
Key Responsibilities:
- Lead and manage day-to-day office administration and facilities operations to maintain a productive work environment.
- Manage vendor contracts by negotiating rates, reviewing service performance, and ensuring timely delivery of services.
- Oversee the company vehicle fleet, including allocation, insurance, registration, tax, and maintenance records.
- Handle accident and theft reporting in coordination with insurers, police, and Asset Management teams.
- Maintain and update the company asset register, conducting periodic asset verifications to ensure accuracy.
- Review and approve utility bills, rent, and other administrative expenses, ensuring alignment with the approved budget.
- Plan and monitor the annual administrative budget, identifying and flagging any overspending promptly.
- Supervise and provide guidance to admin officers, office assistants, drivers, and support staff.
- Coordinate travel arrangements, accommodation, and event logistics for management and staff members.
- Ensure compliance with health, safety, and office policies to maintain a safe and secure workplace.
- Support internal and external audits by maintaining complete and accurate records.
Required Qualifications:
- Bachelor’s degree in Business Administration or a related field.
- Minimum of 3 years’ experience in administration or facilities management.
- Proven experience in supervising a small team.
- Strong vendor management and negotiation skills.
- Effective communication skills, both verbal and written.
- Proficiency in MS Office applications.
