The Administrative Assistant plays a crucial role in maintaining smooth daily operations within the organization. This position demands strong organizational abilities, keen attention to detail, and a compassionate approach when interacting with patients. Responsibilities include managing appointments, maintaining accurate patient records, handling financial transactions, and delivering exceptional customer service to support overall office efficiency.
Key Responsibilities
Appointment Management: Schedule patient appointments to maximize clinician availability. Make reminder calls and provide patients with necessary instructions. Notify patients promptly about any delays or waiting times to ensure their comfort and satisfaction.
Patient Information and Records: Collect and update patient contact details, insurance information, and medical histories with accuracy and confidentiality. Verify patient information during each visit to comply with privacy regulations. Assist patients in completing required forms such as medical history, consent, and payment contracts.
Financial Transactions: Process cash and credit card payments securely and accurately. Review patient accounts to identify delinquent payments and follow up accordingly. Coordinate with the billing department to resolve any patient billing or insurance issues.
Customer Service: Respond promptly and professionally to patient inquiries or complaints. Investigate concerns and either resolve them or escalate to appropriate medical staff. Follow up with patients to ensure satisfactory resolution while demonstrating empathy and professionalism in all interactions.
Administrative and Clerical Support: Perform general office duties including filing, organizing documents, and maintaining office supplies. Maintain both electronic and paper records to ensure accuracy and accessibility. Collaborate with team members to support efficient office operations.
Required Qualifications
High school diploma or equivalent is required; an associate degree is preferred. Prior experience in U.S. healthcare administration or customer service is advantageous. Strong communication and interpersonal skills are essential. Proficiency in MS Office and healthcare management software is required. The ability to multitask, prioritize responsibilities, and maintain confidentiality is critical.
Preferred Qualifications and Benefits
Experience working within the U.S. healthcare system is a plus. The position reports to the Practice Manager or Office Supervisor and operates from 4:45 PM to 2:00 AM. The salary offered is competitive within the market.
