Key Responsibilities
Reconciliation Operations:
Manage reconciliation services by sourcing and mapping data between Oaktree systems and external parties. Develop and refine matching rules to improve match rates and minimize manual intervention. Design workflows for handling reconciliation breaks, including research methods, prioritization, commentary standards, root cause categorization, assignment, escalation, and strategies for engaging non-responsive parties. Conduct daily reviews of reconciliation breaks to identify high-risk issues and communicate with relevant teams for resolution. Perform detailed investigations using loan notices, trading activity, corporate actions, security master data, and fund accounting records to identify root causes and determine resolution steps. Handle escalated items and decide if further escalation is necessary, ensuring all processes comply with audit requirements.
Process Improvement, Reporting & Analytics:
Provide management with reports on volumes, match rates, resolution rates, and aging, including trend and anomaly analysis. Conduct root cause analysis to identify opportunities for process enhancements and collaborate with internal and external teams to reduce break rates and resolution times. Continuously evaluate process quality and implement improvements using AI and automation tools to optimize workflows and boost operational efficiency. Prepare detailed reconciliation reports to support monthly and quarterly fund finance close activities.
Stakeholder & External Party Engagement:
Work closely with teams across Oaktree to enhance processes, reduce exceptions, and shorten break resolution times. Engage with external parties such as Agent Banks, Transfer Agents, Custodians, Administrators, and Brokers to ensure responsiveness and appropriate action on breaks. Identify external parties responsible for high break rates and collaborate to address problem areas.
Required Qualifications
Candidates should have 2 to 6+ years of relevant experience in operations within asset management, investment banking, or financial services. At least 2 years of experience in private credit investment operations and middle-office support, including bank loan syndication and corporate actions, is essential. Strong knowledge of finance, process documentation, and cross-functional operations is required. Proficiency in Microsoft Office, particularly Excel, is expected. Candidates must demonstrate solid analytical skills, the ability to resolve complex problems, and the capability to manage competing priorities while independently driving projects to completion.
Preferred Qualifications and Additional Information
Familiarity with Geneva and reconciliation platforms such as DUCO is preferred. The ideal candidate will possess exceptional organizational skills, high attention to detail, strong initiative, and a dedicated work ethic. Excellent interpersonal, verbal, and written communication skills are critical, along with the ability to perform well under pressure and maintain professionalism and integrity.
