We are seeking a detail-oriented Payroll Associate to join our Payroll team. In this role, you will support the end-to-end monthly payroll cycle and ensure compliance with statutory and regulatory requirements across the jurisdictions where we operate.

Key Responsibilities

Payroll Processing Support:
- Process monthly payroll inputs including attendance, leave, overtime, reimbursements, and data related to new joiners and exits.
- Validate payroll data for accuracy and completeness, identifying and resolving discrepancies before payroll runs.
- Generate and distribute pay slips, tax statements (such as Form 16), and other payroll-related documents to employees.
- Reconcile payroll registers against the general ledger and investigate any variances.
- Maintain payroll trackers and update employee master data within the HRIS/payroll system.
- Ensure timely and accurate final settlements for exit employees.

Statutory & Regulatory Compliance:
- Compute and remit statutory dues such as Provident Fund (PF), Professional Tax (PT), and Tax Deducted at Source (TDS) promptly.
- Prepare and file periodic statutory returns (e.g., PF ECR, PT returns, TDS/Form 24Q) within prescribed deadlines.
- Monitor changes in payroll-related labor laws, tax, and social security regulations, escalating impacts to the team.
- Support actuarial valuations and coordinate with accounting and decision-making processes.
- Ensure compliance related to Gratuity Trust, including accounting, auditing, and taxation.
- Prepare documentation for statutory audits, inspections, and internal compliance reviews.

Documentation & Audit Support:
- Maintain accurate, audit-ready records of payroll transactions, statutory filings, and compliance certificates.
- Assist internal and external auditors by providing payroll data, reconciliations, and compliance evidence during audits.
- Perform regular reconciliations of payroll general ledgers.
- Help prepare standard operating procedures (SOPs), checklists, and process documentation for payroll compliance activities.

Stakeholder Coordination:
- Respond to employee queries regarding pay slips, deductions, tax declarations, and statutory benefits.
- Liaise with HR, Finance, and external consultants such as statutory auditors and PF/ESI consultants.
- Collaborate with Finance on payroll-related accounting entries and cost allocations.
- Review and distribute offer letters prepared by the payroll vendor within agreed timelines.
- Provide management information system (MIS) reports to relevant teams as scheduled.

Required Qualifications
- Bachelor’s degree in Finance, HR, Accounting, Business Administration, or an MBA with 3-5 years of relevant experience.
- Strong knowledge and understanding of end-to-end compensation, payroll, finance, and IT processes, with hands-on experience using ADP, Oracle, or Tally in a global organization.
- Excellent interpersonal, oral, and written communication skills, with the ability to build strong relationships across global, regional, and local stakeholders.
- In-depth knowledge of India tax and regulatory compliance.
- High accuracy and attention to detail.
- Ability to handle sensitive data with confidentiality and sound judgment.
- Strong team player with ownership mentality to drive strategic objectives.
- Adaptable and creative problem-solving skills.
- Experience engaging senior internal and external stakeholders, including auditors and regulatory authorities.
